Approaching HubSpot's COMPANY_TO_EMAIL Association Limit – What Does It Mean?

We’ve received an email from HubSpot notifying us that we’re approaching the EMAIL per COMPANY association limit. Specifically, the COMPANY_TO_EMAIL association has a maximum limit of 50,000 associated EMAIL records per COMPANY.

I have a couple of questions I’m hoping the community can help clarify:

  1. Why does HubSpot track this or impose a limit in the first place?
    What’s the reasoning behind capping email associations like this?
  2. What happens if we ignore this warning?
    Is there any material impact to the platform’s functionality or data integrity if we take no action?

If you want official answers to these questions, I’d recommend reaching out to your customer success manager or support directly. This is a user-to-user community where users cannot speak on behalf of HubSpot.

Here is what I assume are the reasons:

  1. HubSpot has defined a variety of limits: https://legal.hubspot.com/hubspot-product-and-services-catalog – I assume that limlitless associations would impact the performance of opening a company record, the performance of filters across the tools and the certain functionalities.
  2. You will no longer be able to associate further emails to this record. The user who is seeing this warning should also be see a record ID and review the affected record.

There are a few options here:

  1. Bulk delete emails (from the email index page)
  2. Use the engagements API to remove associations
  3. Create a new company record, remove all record associations and the company domain name value from the old one and start logging activity on the new one; leave a note on both records explaining that they have a “brother”/“sister” record

HubSpot enforces a 50,000 email association limit per company record to maintain optimal system performance and data integrity.

The primary reasons for this limitation are:​

  1. System Performance: Managing an excessive number of associations can lead to slower load times and degraded performance across the CRM platform.​
  2. Data Integrity: Limiting associations helps prevent data corruption and ensures the reliability of CRM functionalities.​
  3. Operational Efficiency: By capping associations, HubSpot ensures that features like reporting, automation, and integrations function smoothly without overloading the system.​
