Anyone used CRM Deals for Job Vacancies Tracking

Hello

We’re a recruitment agency and don’t have a Hubspot Enterprise account, so we’re unable to create a custom object for job vacancies/listings.

One option we’re considering is creating a separate Deals pipeline for job vacancies/listings, with its own stages. Has anyone tried this approach before?

If we use Deals for both vacancies and candidates, is it possible to associate a job vacancy Deal with another Deal in our candidate pipeline? Ideally, one vacancy Deal would be associated with multiple candidate Deals.

We’re also currently embedding our standardised HubSpot application form on WordPress. Would it be possible to pass the Job ID through a hidden field on the form so that when a candidate submits an application, we can use the Job ID to associate their candidate Deal with the relevant job vacancy Deal?

The goal would be to automatically associate the candidate with the relevant vacancy based on the Job ID.

Any advice on whether this setup is possible with our current HubSpot subscription, or if there’s a better workaround for managing vacancies and candidates without custom objects, would be greatly appreciated.

Thank you!

Best,
Tracy

Hi @TP.Alecto,

Funnily enough, there is a default object “Listings” which can be enabled in the data model builder: Use the data model builder - it’s meant for real estate, but if you don’t mind some of the real estate default properties, that could be a solution where you’re not doing everything exclusively on the deal object.

Listings support pipelines, listings (like any other object) can be associated to any other object.

Deals, of course, can be associated to deals, too.

Yes - using the “Create associations” workflow action, you could associate the contact with the respective listing if that ID also lives on the listing.

Best regards!

Hi, Karsten,

Thank you so much for the prompt response. Can we still customize the properties for the listings objects on Hubspot to configure the necessary properties for our job listings?

@TP.Alecto yes - you can’t delete some of the default properties but you can create custom properties like on any other object.

I would recommend going on with the Smart CRM Enterprise, which is not very expensive. I did that thing to solve the exact issue of not having access to custom objects without a lot of cost. For job vacancy, it is possible to pass the job id as a hidden field, not a big deal, but I’m thinking of downstream effect of that architecture.
