Allow entering email addresses directly in Meeting attendees and automatically create contacts

Current behavior

When scheduling a meeting from a CRM record, the Attendees field only allows selecting existing HubSpot contacts.

If I want to invite someone who isn’t in HubSpot yet, I first have to:

  1. Leave the meeting scheduler.
  2. Create a contact.
  3. Return to the meeting tab.
  4. Refresh the page.
  5. Create new meeting.
  6. Search for that contact again.

This creates unnecessary friction, especially when scheduling meetings from Tickets, Deals, Companies or Custom Objects.

Requested behavior

Allow users to type any valid email address directly into the Attendees field.

If the email address doesn’t belong to an existing contact, HubSpot should:

  • Automatically create a new contact.
  • Use the email address as the primary email.
  • Optionally use the part before the @ as a temporary first name (or simply leave the name blank).
  • Immediately send the calendar invitation to that email address.

This should work similarly to Outlook, Google Calendar and other modern scheduling tools, where you can invite anyone by simply entering an email address.

Why this matters

Many companies schedule onboarding sessions, customer meetings and trainings directly from HubSpot. The attendees are often mentioned in an email thread but don’t exist as contacts yet.

The current workflow forces users to manually create every contact before a meeting can be scheduled, even though the email address is already known.

Allowing arbitrary email addresses in the Attendees field would:

  • Reduce clicks and context switching.
  • Speed up meeting scheduling.
  • Automatically keep the CRM up to date.
  • Improve the onboarding and customer success workflow.
  • Make HubSpot’s meeting scheduler behave more like Outlook and Google Calendar.

This would be a significant usability improvement for Sales, Customer Success and Support teams that schedule meetings every day.
