Idea Description:
Currently, HubSpot provides the ability to enable the Meeting Notetaker feature at the account level. However, individual users still retain control to enable or disable the “Invite notetaker to all upcoming meetings automatically” setting within their personal preferences. This creates inconsistency in adoption and limits administrative control, especially for organizations that want standardized meeting documentation across all users.
Problem:
Even when the Meeting Notetaker is enabled at the account level, users can override this setting at the individual level. This results in:
- Inconsistent usage of the Meeting Notetaker feature
- Gaps in meeting records and insights
- Reduced visibility for managers and leadership
- Challenges in enforcing internal processes and governance
Proposed Solution:
Introduce an admin-level control that allows administrators to:
- Lock the Meeting Notetaker setting across all users
- Prevent users from disabling the “Meeting Notetaker Join Settings”
Impact:
This enhancement would:
- Improve data consistency and CRM hygiene
- Increase adoption of HubSpot Meeting Notetaker and it’s AI capabilities.
