Currently, when users click the Call button on a contact record, HubSpot surfaces all phone number properties that contain values.
For organizations with multiple phone-related properties (mobile, direct line, assistant, personal, alternate, outdated numbers, integration-created fields, etc.), this creates unnecessary clutter and increases the risk of calling the wrong number.
It would be extremely valuable to have an admin-level setting that allows teams to control which phone properties appear in the calling popup.
Suggested functionality:
- Allow admins to select which contact phone fields are callable
- Allow prioritization/order of displayed numbers
- Optionally limit the popup to only 1–2 designated primary numbers
- Ability to exclude specific custom phone properties from the call interface
Example use case:
Our CRM contains several synced and custom phone fields for operational purposes, but sales reps should only see the main business number and/or primary mobile number when initiating calls. Right now, every populated phone property appears, which creates confusion and slows down workflows.
Benefits:
- Cleaner calling experience
- Reduced dialing errors
- Better adoption for sales teams
- More control for CRM admins
- Improved data governance in enterprise environments
This would be especially helpful for portals with complex integrations, multiple synced systems, or heavily customized contact records.
