Hi all,
Hope this is the right spot for my query. We have just been migrated to the new seat model and have been allocated way less core seats than anticipated or needed - but that’s another story.
My immediate concern is to ensure I can keep things working as intended, especially considering we have just renewed HubSpot + several integrations that now might not work as needed.
My understanding is view-only seats cannot be made owners. Do we know how this will work with the Aircall integration, which assigns the owner of the call record as a hubspot user? I.e., will it still say in HubSpot “Call from XYZ to HubSpot User” if HubSpot User = view-only seat? Or will it allocate to someone else?
Any help appreciated!
Hi @Steffi-Bowles,
View only seats cannot implement changes in account, but they can be made owners in HubSpot: Assign ownership of records
So it should be able to sync directly with the respective owner in Aircall.
If you’re referring to ownership rotation, which requires a sales/service seat, in that case, you can use a quick workflow to edit the contact owner property and make the view-only user the contact owner.
If this helps, feel free to mark it as the solution

Hi @Steffi-Bowles
You’re correct that view-only seats can still technically be assigned as record owners in HubSpot.
The main limitation is they can’t perform owner-level actions like task rotation or deal assignment rules that require a paid Sales or Service seat.
(Assign ownership of records )
With the Aircall integration, the owner field should still map to the HubSpot user even if that user only has a view-only seat so your call log will continue to display “Call from X to HubSpot User.”
If you do need automation around reassignment (for example routing calls or rotating ownership), you can handle that with a simple workflow that updates the Contact Owner property and points it to the correct view-only user.
And just to share a small related tip: some teams dealing with multiple integrations use a sync layer like Stacksync to keep user/owner assignments aligned in real time across HubSpot and external apps. It avoids weird mismatches where one system updates the owner and another doesn’t catch up immediately.
Hope this helps.
