Admin Best Practices: Offboarding Sales Team Members

We have a large number of automated marketing emails sending from HubSpot with send settings referencing the Contact Owner property. We want to prevent any emails from being sent out on old sales team members behalf. The challenge comes with our integration with Salesforce. Our entire sales team is working out of Salesforce and is completely against reassigning old team members contacts. They prefer to reassign if the old contact reengages. Does anyone have any workaround ideas on how to offboard these team members for automated emails sake without doing a mass reassigning project?

Checking more about it, other users mentioned one potential workaround is to create a custom field in Salesforce or HubSpot, which you can populate only for current team members. Update your email automation rules to reference this field instead of the default Contact Owner property.

Thank you for the creative response! Do you know if it’s possible to use the newly created field you mentioned in email sending settings as the Personalization Token - owner.email? This is our biggest pain point as we’re trying to prevent emails from being sent from old team members emails, due to this owner.email Personalization Token being used in numerous automated emails.

In this case, you can update the Contact Owner property with the new team members you’ve onboarded. This way, all new emails will be sent on behalf of the newly assigned contact owner.

Additionally, you can set up an automation to ensure that if any contact re-engages, a notification is sent to the assigned contact owner or sales representative to send this to the previous contact/sales owner.
