Problem
Many HubSpot assets currently only support two practical permission levels:
- Private
- view & Edit access (either everyone or selected users/teams)
This creates a common challenge for organizations that want users to be able to access information without allowing them to modify it.
For example, I may want a sales team to reference a workflow, playbook, document, or CRM view, while ensuring only admins or process owners can make changes. Currently, granting access often means granting editing rights as well.
Proposed Solution
Introduce View Only as a standard permission level across all HubSpot assets that currently support sharing.
Instead of only offering:
- Private
- Everyone can view and edit
- Selected users and teams can edit
allow administrators to choose:
- Private
- Everyone can view
- Everyone can view and edit
- Selected users and teams:
- View only
- View and edit
For assets shared with specific users or teams, each selected user or team should be assigned either View Only or View & Edit permissions.

This permission model would be valuable across HubSpot, including:
- CRM Views
- Lists / Segments
- Workflows
- Documents
- Sequences
- Sales Templates
- Playbooks
- Dashboards
- Reports (including reports with independent permissions)
- Files, folders, and subfolders
Benefits
This would allow organizations to:
- Protect important assets from accidental changes.
- Give employees access to the resources they need without granting unnecessary editing permissions.
- Better support larger teams with different roles and responsibilities.
- Reduce the need to duplicate assets simply to prevent edits.
- Bring greater consistency to HubSpot’s permission model across all tools.
This feature would be especially valuable for organizations with multiple departments, regional teams, or strict governance requirements, where many users need visibility but only a small group should be able to make changes.
