Whenever you create a deal workflow and send an email as part of the workflow, there are association settings for contacts, but not deals or companies.
This means that when you view the deal or company record, you don’t see these emails.
Additionally, the “number of times contacted” deal property doesn’t include these emails in its count.
We use automation to send out notification emails to our staff about deals where there hasn’t been any activity in a certain time frame.
These notifications were working great until we transitioned to using a shared inbox for sales. Since sequences aren’t supported to send from a shared inbox, we had to transition our sequences to workflows to use a shared inbox as I mentioned in another idea post linked below.
Now that we’ve been using the shared inbox for a week or two, I’m seeing that deals are triggering this inactive automated email when it shouldn’t because it’s not seeing activity on the deal because the automated emails from the workflow aren’t associated with the deal.
1) Shared inboxes and sequences should be supported to work together in my opinion.
#2) If an automated email in a deal workflow can be associated with a contact, it should also be possible to associate it with the deal, and companies associated with the deal.
I’m going to look into updating our automated notifications around inactive deals in the hopes of a similar solution, but I’m not sure how successful that will be since the activity is exclusively on the contact and not the deal. We shall see!
