Activity report for more than a year ago form Hubspot

Hi Hubspot,

How do I get the Activity report for the date & times when an email was opened, from more than a year ago please.

This is time sensitive request & I have the Professional plan.

Coulf you specify your request? Which format should this report have? Do you want one big table for all contacts and all marketing emails and each respective marketing email open time?

(May I ask what for? Open times are not a particularly reliable data point.)

I’m looking for when 2 emails were opened (sometimes end of 2023 or since Jan 2024).

They were opened around 10-12 times total. So not much data.

I don’t have the name of the peoeple who opened it (as it was sent as a CC or BCC).

I need to know WHEN someone clicked on the email/opened it.

So date & time.

From where, location, type of device, IP address etc would also be helpful.

Format, in PDF is good or one that is encryped would Be ok.

Its for an “internal investigation” that is time sensitive & also sensitive in nature.

Any help you be greately appreciated. Thank you.

Hi @NNg8,

You would have to know which emails exactly you’re looking for. Keep in mind that a sales emails are not a single asset that is sent to different recipients – each send is a single asset in HubSpot.

Your best chance of finding this information in HubSpot, in my opinion, is via the email index page.

  1. Navigate to Menu → CRM → Contacts
  2. Change the Contacts dropdown in the top left corner to Emails
  3. Use filters on this page to find your emails, e.g. by subject line or by send date
  4. Once you find them, click on them to see the open information on those emails

I want to emphasize again that there’s a good chance that these emails were never opened consciously by a human. They might have cleaned up their inbox, the email might have been pre-loaded by the email client for quick access or by a bot.

I just did what you both suggested using the subject line.

I see only 2 record dates: April 2024 opened.

Not the ones in August 2024- Nov 2024.

What do I do now?

No it was opened by human who “remotely” logged into my laptop in August 2024.

They have forwarded it to themelves & eveyrytime they click on it, I get a notification.

I originally sent it out in March 2024 to some people in CC & or BCC. None of the recipients opened it in after Arpil 2024.

I just need to have a record it was opened again in August 2024 (I got the noticifactions back then that’s how I know).

But ony the 2 April records show when I follow the inx u both posted above.

I did a custom report from Jan 2024 to now, also skips from End of July to end to end September, then continues on to Dec 2024 (Weird).

So how do it get August, Sept, Onct, November 2024?

Please help me if anyone knows. Appreviate it.

@NNg8 there are two different suggestions in this thread - what exactly did you do?

What do you mean by “record date”?

“What do I do now?” - I had outlined exact steps in my reply that lead you to the email(s), associated contacts and timestamps. Could you elaborate on what you’re missing? If the email history doesn’t show the open dates you’re looking for but you received notifications, that suggests that you’re not looking at the right email and need to keep searching.

If you’re getting notifications, why not click through from the notification to the record?

The notifications are from back then in August 2024, that’s how I know.

I would have just clicekd on it it if was possible now.

I did a report with that you suggested earlier.

So 2 entries came up, but both same date April 2024.

I need the entries August 2024 & onwards too.

Yes need to dig more… which is why I am trying to do this. Thank you for any other ideas…?

This suggest that you are talking about 1:1 email. So is it marketing email or Sales email?

Also as you suggest that some one would have forwarded the email as per your reply:

If the user have forwarded the email then it hard to track, as possibly they could have forwarded to the email that don’t exist in your hubspot.

Now coming to the Notification part, Can you elobrate, what type of notification it is and how it was activated.

Also the whole purpose of your seems to be to see who opened the email on

August, Sept, Oct, and November in the year 2024. As per your reply:

If this is regarding Markeitng Email you can get this report from “Last marketing email open date”.

Also if it about any particular markeitng email then you can do this directly in the Email Analytics in the performance tab.

If you want to export the data then you can do that by:

  • Marketing > Email.
  • Click the name of the specific sent email.
  • Go to the Recipients tab.

  • In the left sidebar, click Opened (or another status like Delivered, Bounced, etc.).
  • In the upper right, click the Segment actions dropdown and select Export recipients segment.
  • In the dialog, select the desired file format (CSV, XLS, XLSX).
  • For a full activity export, in the “Type of segment to export” section, choose Advanced if the option is available.
  • Under Export, all email events (opens, clicks, bounces, etc.) are selected by default—remove types if needed.
  • Click Export.

Once you have the data in excel, you would need to split the data as date and time data will be in the one cell/column only.

If you want to see same for a specific email then use multiple object in the report, so your data source would have, Contacts, Marketing Email and Marketing email activities. Export the unsummarized data then you can again use the tools like (Excel, Google sheet, etc.) to split and get the date and time property data then you can pivot to create cutom report.

This way we found out the best time and day to send the Marketing Emails.

If this is regairding sales emal, then you can get this report from “Recent sales email open date”. However it won’t give you multiple email at the same time. If you still wants that then additional work can give you the data for sales. Export property history of the “Recent sales email open date”, this can give you all the historical data that have stored in the proeprty for each contact, you can map that by record id’s.

You can follow the screeenshot below to export property history data.

However if you’re looking specfically date and time splitted, hubspot don’t record the date and time differently for these informations, these gets recrodly together in the same property mentioned above. So if you don’t have operation hub you can’t create calculated fields directly in hubspot. You have to use additional tools after exporting data.

Also, it was sent as a regular email communication as CC or BCC from within Gmail itself.

It was not sent via hubspot. Hubspot only tracked the opened. Not sure if that matters.
