Ability to use Meetings as an Object and Improve Meeting Logging

We log all of our virtual and in-person meetings as ‘Meetings’ on HubSpot. I have received several requests from my leadership to design reports or grab an export of specific meetings. Unfortunately, Meetings are still an activity type that can not be used as an object in lists, workflows, and custom property creation. I can’t even view a list of all meetings like I can view a list of all contacts, companies, calls etc.

I have had to build a dashboard report to replicate a list view. However, an additional issue with HubSpot’s Meeting activity type is that the Meeting record ID is poorly logged. In my dashboard report of meetings, the property “Record ID - Meetings” says ‘Unknown Meeting’ for every single meeting. Therefore, I can’t search for the meetings on HubSpot.

Sorry to hear you’re experiencing this…I get the frustration.

There is an idea in the forum for custom properties on activities that is currently being reviewed. When this becomes available, I think it will help you on this issue.

On the record ID issue, I am not experiencing the same issue with inconsistent meeting IDs.

At first, I thought these were consistently showing because they were booked through the meeting link, however, I am also seeing this for things not booked through the meeting link such as the screenshot of my dentist appointment below.

I don’t think there’s a perfect solution for your needs immediately, so for now a report (as you’re doing already) will probably be the best workaround.

Theoretically, you could use a custom object for every meeting, which would definitely allow you to report and view as other objects, but it might be more of a stretch than needed, especially if you’re not already on an Enterprise version of HubSpot.

Thank you so much @Josh for the help provided, and yes, I can confirm that using reports for this is the best way to see all meetings at the moment.

Regarding the “Unknow meeting” this usually happens if the source data is not the right one or if you have too many data sources maybe.
The best next step for you, to get you sorted, would be connecting with HubSpot Technical Support, as Support is included in your subscription and they will be able to provide real-time assistance for this matter, including hopping on a screenshare if necessary.
