Ability to Restrict Tracking to Specific Sender Addresses in Outlook

Description:
The HubSpot Sales extension for Outlook currently applies tracking settings (log/track all, etc.) at the account level. This means that if an Outlook account manages multiple email addresses or aliases, HubSpot applies the same tracking rules to all of them.

For businesses that manage multiple brands or shared inboxes within one Outlook environment, this creates challenges. In many cases, only one primary email address should be tracked in HubSpot, while other addresses under the same Outlook account should not.

Right now, users must either:

  • Manually toggle tracking on/off for each email, which is time-consuming and prone to error, or
  • Accept that emails from all addresses under the Outlook account are automatically tracked, leading to inaccurate data and potential cross-brand issues.

Proposed Solution:
Add functionality that allows users to control which outbound email addresses within an Outlook account should or should not be tracked/logged. For example:

  • An option to “only track emails sent from selected addresses”
  • Or a “never track from” list for sender addresses (similar to the existing “never log” for recipients).

Impact:

  • Reduces manual workload and human error
  • Prevents data from unrelated brands or business units being pulled into HubSpot
  • Improves accuracy of CRM data and supports multi-brand operations using shared Outlook environments
