550 5.0.0 error for 1on1 email

Hi community,
I sent a 1on1 email via our team email from Hubspot.
It “came back” with the following error:
550 5.0.0 Explanation: host {email address receiver} {receiver ip} said: SPF: {sender ip} is not allowed to send mail from {our domain}.
I setup the SPF record for our email provider exactly as asked in Hubspot (include:{tenant ID}.spf07.hubspotemail.net ).
I’m not an expert, but I have the feeling that maybe my email was sent from an IP address that is recognized as being part of my tenant IDs IP addresses.
Did anyone have similar issues and was able to solve them?
Would it be possible/recommended to remove the tenant ID from the SPF record so that it includes all IP addresses coming from Hubspot (include:_spf.hubspotemail.net) ?

Hi @jbel,
Thank you for posting to the Community!
I’m sorry to hear that you are receiving errors when sending one-on-one emails in HubSpot.
I’d like to tag in some of our experts to see if they have experienced this behavior before. Hi @GrantCarlile @LMeert and @sam_baybrad Have any of you all experienced this error: 550 5.0.0 Explanation: host {email address receiver} {receiver ip} said: SPF: {sender ip} is not allowed to send mail from {our domain}. before? If so, how did you resolve it?
Thank you in advance!

Hi @jbel !

What you think it’s happening is partially right, but its a more deeper than just the SPF. What actually happens is that the receiving mail server checks SPF against hubspot.email.net not your domain, so your SPF record (no matter how correctly configured) isn’t even being consulted in this check.

Here’s some recommendations to troubleshoot the issue:
1. Make sure DKIM is correctly set up: this is the most important thing. For HubSpot users on shared IPs, achieving full SPF alignment isn’t generally possible, so DMARC compliance relies on DKIM alignment instead. A correctly configured DKIM signature will ensure your DMARC passes even without SPF alignment.

2. Verify your 1:1 email setup specifically: 1:1 sales emails sent from the CRM go through a slightly different path than marketing emails. Check in Settings → General → Email that your connected inbox is properly authenticated, as the sending infrastructure may differ.

I also found a similar thread in the community, this perhaps can help: https://community.hubspot.com/t5/Account-Settings/550-Bounce-emails-from-Personal-E-mail-one-to-ones/m-p/979593

Hope this helps!
