Sending email to multiple recipients at an organization (group sends)

Is there a way to set up automation to send an email to multiple users within an account? For example, I'd like to send an email to 100 accounts, and on that email, I would like to have users with the assigned role of "Decision Maker," "Primary Contact," and "Signer," which are all identified in our records with a contact role field syncing from SFDC.

I'd like all of these users to be on the singular email to the account so we don't start multiple threads with the customer.

Does that make sense? It's possible with Customer Success Platforms, but I haven't figured out how to make it happen in Hubspot.

Hi @JeniferL,

No, HubSpot currently has no automated or scaling solution for that. If emails are sent as automated emails from workflows, each recipient gets their own copy of an email / separate threads. There is no option for marketing emails to get combined into shared threads within a company.

For one-to-one emails, sent directly from a company record, for example, you would have to manually select each recipient. I'm not aware of any default or native features that would let you pull in recipients at scale.

Yep, been there. This really should be easier. Quick check: are you hoping to send one email per account with all those contacts included together, or is it okay if each contact gets their own email?

If separate emails are fine, you're in good shape. You can build a contact-based workflow in HubSpot that triggers when Contact Role is “Decision Maker,” “Primary Contact,” or “Signer” (assuming that syncs in from SFDC). Then just drop in a Send Email step. I did something similar for a renewal campaign and it worked great, each contact got their own message.

If you really need to send one email to multiple contacts at once per company, you’re looking at a custom code action (with Ops Hub) or a Zapier/Gmail API combo. Takes a bit more setup and budget, but doable. Just let me know what direction you want to go and I can help sketch it out.
