How do I manage Knowledge Base article access groups in HubSpot?

I’m looking for guidance on configuring Knowledge Base article access in HubSpot.

Hi all, I hope you could help me with my questions regarding the Knowledge Base.

Ideally, I would like to create a few types of articles in the Knowledge Base and give access to specific types of articles to different access groups. For example, everyone in the 'Access Group A' would have access to 10 selected articles in the Knowledge Base, everyone in the 'Access Group B' would have access to 20 selected articles in the Knowledge Base etc. I would like to be able to add members to the access groups manually over the course of time without making members to sign up on their end.

My questions are:

Is 'Access group membership required' the correct setting for the Knowledge Base articles?
Can the contacts in the Access Group be outside of our organisation's domain (example - leads or clients)?
Should the Access Group be static or dynamic if I want to be able to add group members manually over a course of time?
Is there a way to add members to the access group manyally on my side without making the members sign up? Or does there have to be a sign up process on the group member's side?
If the group members have to sign up first to receive access to the Access Group and selected knowledge base articles - which steps need to be added on my end? Should there be a sign up form?

I tested adding a contact point manually to an Access Group, however that contact point did not receive any sign up prompts and did not get access to related selected article.

Any recommendations would be greatly appreciated!

With memberships, you can manage which visitors can access specific content you've created.
Contacts who can access private content are sorted into access groups.

Based on your account subscription, you can configure private content settings for different content types:

- If you have a Service Hub Professional or Enterprise account, you can configure private content settings for knowledge base articles and a customer portal.

- If you have a Content Hub Professional or Enterprise account, you can set up private content settings for website or landing pages, as well as blog posts.

I'll try to answer these based on experience in HubSpot.

- Is 'Access group membership required' the correct setting for the Knowledge Base articles?

For each KB article you want to restrict, yes, you'll need the "Access group membership required".
Then you add the desired Access Group.
You also have to manage the registration followup emails.

- Can the contacts in the Access Group be outside of our organisation's domain (example - leads or clients)?

Yes, no problem there. You control the access through the HubSpot filters in the Dynamic Group or manually via a Static Group.

- Should the Access Group be static or dynamic if I want to be able to add group members manually over a course of time?

If you add them manually, the access group must be a static group.
We cannot manually add contacts to a dynamic group. In the dynamic groups, you set the criteria via filters (on HubSpot properties), and HubSpot manages the list based on those rules.

- Is there a way to add members to the access group manyally on my side without making the members sign up? Or does there have to be a sign up process on the group member's side?

No, registration is required.
Single sign on (SSO) is available with Enterprise level.
But either way, they must take action.

You need to have some way to cookie them, so a form is best.
But registration emails in your private content settings is another step you'll need to take.
