Hi @loganross,

You cannot do this via a workflow.

Also, note: even though you aren't using a property to store sensitive information, if your PDFs aren't encrypted/secured, you are still using the HubSpot system to store sensitive information (via file manager), which is against the terms of use and a privacy risk for your clients.

See knowledge base on file manager. Towards the top of this page see:

Hello,

I am new to hubspot, but we are trying to attach a file to a deal on creation that needs to be filled out with sensitive information such as credit card details etc which we do not want to store in fields.

Is there a way we can attach a file to every deal created?

And if possible could that file be created with a custom name? i.e. [Deal name] credit care details?

Thanks in advance!

Hi @loganross

Files properties is only avaliable in contact properties, not in deal, and i think workflow cannot import file.

Some ideas:

1) You can create one field text in Deals Properties, to paste in Workflow the URL of document online.

2) U can create one landing page simple, with form with FILE field, to your deal or sales team upload the file with informations you need, in this form/lp, and this doc will be added in contact properties. For this example, you can configure workflow to send one email for each deal with this landing page andwith the document to him download, reply questions, and upload in LP.

Hope this helps.

Did this post help solve your problem? If so, please mark it as a solution.

Best regards!

be careful with credit card information, as you might breach PCI compliance, and that's a big risk for your business (as Josh already stated)

https://en.wikipedia.org/wiki/Payment_Card_Industry_Data_Security_Standard

https://www.pcisecuritystandards.org/document_library

Even if you encrypt credit card information: if you can still access it for processing -> you're storing it, and therefore, PCI applies*

* (btw, it applies even if you use a third-party component in your webshop, where PCI SAQ might be sufficient)

It would be great. When my tickets reach a certain stage of the ticket pipeline, it auto-creates a deal. It would be amazing if we could copy any attachments in the ticket to the deal. None have sensitive information but are critical to our deal stage.
