Quote custom field in template

Hi all,

is there a way to add a custom field in the QUOTES and let the client fill the value in the form they receive together with their approval?

Most of our clients must add their specific internal order number (a simple text string)

I've searched for that but no luck

Hi @robertovergani

Your use case of collecting information during document sign-off, is a combination of forms and quotes.

We solve this use case by adding PandaDoc to HubSpot, to handle more complex combinations.

It is probably overkilled if all you need to collect is the internal/PO number - but it gives you a lot more flexibility for sales flows if you need more than custom quote templates.

Another common use case is where the customer wants special changes such as custom billing address.

Thanks Mia but that Panel doesn't exist. I guess the documentation you linked is not uptodate

I have a Sales Hub Profssional account but that page has no form edit feature

i just see two very basic (expiration and download) items, but no edit

Thanks Pete, but I'm trying to use hubspot to reduce the number of tools so I hope I can find a simpler/internal solution (I just need to add a field 😞 )

the custom quote template function is a new feature that is currently still in the beta version and hasn't been rolled out to all accounts yet. As of November 15th, however, this beta is available for all customers who have a Sales Professional subscription or higher and decide to opt in.

I just read your response to Roberto. Do you mean that with custom code we could modify the quote template to include form field in it that the customer can file before signing the quote ?

Hi @JustineGP,

yes, that's possible with the customizable quote templates and it doesn't require any coding.

You can access the customized quote feature via your HubSpot settings:

In the left sidebar menu, navigate to Objects > Quotes.
Click the Customized quote templates tab.
Click Customize quote template.
Hover over the template you want to use and click Choose.

You can embed a form via the blocks on the left side:

The embed feature where you can add the form embed code:

That's how the end result looks like:

Following on the customization of the quote is there a way to add custom (added to the Deal object) fields to the quote? Created a custom field on the product level (UOM - unit of measurement) and a custom field on the level of the deal level - (Shipping Terms). Trying to modify the template to have the UOM for each item in the product list and the Shipping Terms for the quote itself.

Found that the out of the box templates behave differently: "CMS Quotes Theme" does not allow seeing the custom fields in the product table but the "Flow" theme does. However, I believe there is a small bug: in order to see the custom properties you need to turn off the box "use additional product properties". Then the custom added properties are available for consuption.

Using the rich text field to insert a form embed is an interesting idea. And I initially got excited about it. But upon review, I don't think your example addresses the use case. Presumably, the P.O.# would be a data point attributable to either the QUOTE or the DEAL. I see no ability to create a custom QUOTE field. I can create a customer DEAL field. However, there is no ability to create a form/embed a form for a DEAL (or a QUOTE for that matter). Am I missing something?

So is there any way to create a custom field either in a QUOTE or a DEAL record that I can have the customer populate?

Is there an easy way to tie the form submission to that specific quote?
My use-case here is asking for the billing contact info on a simple order form. We'd want to easily associate the 'form submission' for the given quote submission.

It looks like this idea would solve the embedded form problem. If the form could have a deal property in it, it would save to the deal and not the contact object.

I saw on another post someone mentioned they were using zapier to update a deal property once a contact property changed. So that could be an option also.

@MiaSrebrnjak. Looks like a good solution with the forms! What if the field that I'm requesting is already filled in on HubSpot? Will it still ask for it in the form? Will the form then overwrite the existing data?
