How can I show team-wide meeting availability in HubSpot scheduler?

Hi everyone,

we are using the round-robin meeting scheduler for both inbound and outbound meeting bookings and have run into a structural limitation.

From our understanding, HubSpot first selects a sales rep based on the round-robin (including weighted distribution) and only then shows the availability of that single rep’s calendar. As a result, prospects do not see the combined availability of the whole team, but only the availability of the preselected rep.

This causes a few practical issues:

If a sales rep is unavailable (holiday, sick leave, trade fairs, etc.), we have to manually remove them from the rotation. During that time, they receive no bookings at all.

If we leave unavailable reps in the rotation, prospects sometimes open the scheduling link and only see available slots weeks in the future, even though other reps would be available much sooner.

This creates a poor booking experience and additional manual work.

Question:
Is there any workaround within HubSpot to show team-wide availability before assigning the rep?
Or is using a third-party scheduling tool (e.g. Calendly) the only viable solution here?

Thanks in advance for any insights or best practices.

Hi @vika23,

No, that's not what's happening - unless you specifically choose to prioritize contact owners in the meeting settings.

See here: https://knowledge.hubspot.com/meetings-tool/understand-group-and-round-robin-meeting-availability#round-robin

If a user has multiple integrated calendars, HubSpot will check this custom availability against all the calendars.

If you expect certain times to show up as available but they don't, you can follow these steps: https://knowledge.hubspot.com/meetings-tool/why-does-my-availability-for-meetings-not-match-my-integrated-calendars

I'm not sure I understand why this is an issue. Should sales reps receive bookings despite being unavailable?

@vika23 wrote:

I see, I think I got where we went wrong. We were using the round robin with the meeting roation. Here it is not possible (according to the hubspot service bot) to display all availabilities at once, which makes sense since you cannot evenly distribute meetings this way. However, if I only select the users (without using the rotation) it displays the availability of the entire team.
I still have a question though, if all the team members are available on a certain date and time, is there still some kind of even distribution or is it completely random and one sales rep might get more meetings than another?
Thank you for your help.

Hey Karsten! This is not my experience. I have a round robin set up with 3 sales members currently with a "Distribute meetings evenly between members" distribution logic. When I test it, it shows one calendar at a time. Sales Member A, then Sales Member B, then Sales member C. It does not show joint availability. I also do not have prioritize contact owner on.

I was hoping this would resolve our issue, but it doesn't unfortunately.

We have 3 sales reps. We want to make it so that there is an order of priority. If all 3 reps are available at 10:00 am, we would prefer Sales Rep A to get that booking over B or C. If Sales Rep A is busy, then we would like B to be booked over C. And then if both A and B are busy, then book C.

We have a round robin set up on a rotation with weighted distributions:

Rep A: 100%

Rep B: 2%

Rep C: 1%

With this turned on, we are seeing no availability on a given day even when B and C are available.

Hi STierney, thanks for your reply and for looking into this further. I've attached some screenshots.

The first screenshot shows the settings for our round robin meeting form. We have it set to rotaiton, and the rotation is 'product demonstrations'. The second screenshot shows our weighting distribution within product demonstrations. What we really want is meetings to be booked by order of priority:

1. Justin

2. David

3. John

The next 3 screenshots show:

1. David's calendar for 27 Feb (some availability)

2. John's calendar for 27 February (some availability)

3. Justin's calendar for 27 February (no availability).

So the logic for 27 February should be: Book Justin first. If Justin is not available (which he isn't), then book David. If David is not available, then book John.

What's happening is the 27th of February is completely unavailable despite David and John both having availability.

I've also included screenshots for the calendars on 13 March. On 13 March, both Justin and David have blocks (no availability) and so John should be available to book, however the calendar is blocked for this date.

Hey @DLewis146!

Thank you for providing all of this follow-up context! I'm comparing all of this against Karsten's feedback. It doesn't seem that this setup is possible, but I'd also like to cross-reference him here to ensure I'm not missing anything.

@karstenkoehler, based on the additional context provided, are you aware of any means outside of what you've already provided by which this would be possible?

Shane, Senior Community Moderator
