Multiple Quote Approvers

Hi all,

I'm looking for any possible suggestions on having multiple quote approvers. I've seen previous posts from 2022 even mentioning this was planned to be looked at but I can't find any documentation or working solutions to get around this.

Ultimately, it's a must for this type of functionality as one person cannot be responsible for approving all quotes from multiple teams.

Is there a way to allow for multiple people to have permissions to do so and/or any workarounds? Thank you.

I had seen this previously although from what I can gather (and that is quite a basic grasp of it) it requires some sort of logic to create an approver for different situations. In my specific requirement, it's quite difficult to say "if x then give y approval role" because it should be across 2 or 3 people without that. Ideally, this responsibility would land at a couple of people's door as soon as a quote is completed.

I think what I'm starting to see is only 1 account can be set as an approver at any one time rather than at all. Would that be fair?

I'm with hapily, a HubSpot App Partner, and we created an app quote•hapily that allows users to create custom quote approval flows for HubSpot's native quoting tool. Below is an overview of a custom approval flow with quote•hapily.

Set approval rules based on your sales criteria — for example, “If a line item discount is greater than 15%, require approval.”
Designate approvers via workflows by creating a list of users who need to review and approve quotes. You can add multiple approvers by creating a list of the users who will need to approve the quote.
2. This allows you to create more complex approval logic — like requiring at least one approver from each of multiple teams (e.g., Sales, Finance, Legal) to sign off before the quote moves forward.
When a quote meets the rule criteria, the sales rep will be notified that approval is required. Once they submit the quote for approval, it will enroll in the approval workflow and send an approval request to the assigned approver(s).
Approvers can then approve, reject, or request changes to the quote.

quote•hapily also lets you set blocking rules that prevent quotes from being submitted or published if certain conditions are met — like automatically blocking any quote with a discount over 75%.

Hi @RHampton6, it's nice to meet you!

We have an app for HubSpot called Portant. It can help as a workaround here by giving you more control over generated documents and using HubSpot Workflow triggers to notify or assign approvals to multiple people (for example, generate a document or PDF, save details to custom properties, then use those properties / document statuses to kick off HubSpot Workflows that notify multiple approvers or escalate if no action is taken).

We use Google Docs or Slides to allow you to design the document to look exactly the way you want it to.

For example, Portant can:

source and use any data connected to your HubSpot Deal and customise a document with it (custom properties and objects included).
save document / PDF details and links as custom HubSpot properties on your deal so you can automate workflows from data that Portant creates.
be used as an action within a HubSpot Workflow so you can combine document statuses with workflow logic (useful for notifying multiple approvers or escalating).
integrate with eSign workflows and map recipients from HubSpot contact associations.
