Improve notification control for deal approval process

Hello,

We have recently started using the deal approval process feature in HubSpot, and while we find it very useful, we've encountered a challenge regarding notification management which we believe could be improved.

Current Situation: We have multiple sales teams, each led by their respective Sales Managers who are responsible for approving deals within their team or those shared with them. Currently, when a deal requires approval, all managers/approvers receive notifications, regardless of team affiliation or shared status.

Can we have a feature that allows Sales Managers/Approvers to receive notifications only for deals within their own teams or those specifically shared with them. This would help streamline our workflow and reduce unnecessary notifications.

Has anyone else in the community faced this issue? If so, how are you managing notifications for deal approvals within your teams? Any insights or workarounds would be highly appreciated! 🙏

Hey @Besa! This is a great question. Do all of these deals live in the same pipeline? At this time, it seems like deal approvers can only be assigned per pipeline as opposed to per deal. Maybe some of our community members have a workaround to suggest.

Hey @Jnix284 and @Lucila-Andimol -- any potential workarounds to limit who is notified for deal approvals?

Hey Kennedy,

Thank you for your thougtful response. Yes, all the deals are in the same pipeline and creating separate pipelines only to manage approvers it doesn't seem to be the most practical approach for us at the moment.

A solution might be to manage notifications through workflows, similar to how we handle permissions. This way, we could set all the necessary criteria and send the notifications to the right approver.

Sending an internal email notification is a great idea, @Besa! You can set all Sales Managers as approvers for the pipeline, then ensure they all turn OFF the Approval activity notifications:

Segment deals in one workflow using branches to assign manual approval to specific users. These users will receive the email from the workflow to approve the Deal in HubSpot via the notification bell icon in the top right (as opposed to directly from the email):
