Terms and conditions with HubSpot native eSignature

Hi community,

We are currently implementing HubSpot's quotation and eSign function. So far we have been using Google Docs and Dropbox Sign for our quotes and contracts.

We have everything set up so far. Now we are facing the challenge that the quote recipients in Germany have to accept the terms and conditions and the license agreement. The idea was to integrate a checkbox in the quotation template, but this is not compatible with the legitimization process during e-signing (if the recipient has his legitimacy checked via the button and goes back to the signing process from the email, the checkbox is no longer checked).

As we are certainly not the first company to have to solve this problem, I'm simply asking here. Is there a way to solve this issue with the build-in functions of HubSpot?

Hi @Sebastian_,

How were you handling this with Dropbox Sign and Google Docs? I'm having trouble understanding the need for the checkbox. Couldn't you add some verbiage to say 'by signing, you accept the terms and conditions and license agreement'? Then, HubSpot's esign solution could solve your problem.

thanks for your assistance.

Actually we've done it with Dropbox Sign in this exact way, and it is the way we are doing it at the moment with HubSpot esign too. We have a short sentence saying "By signing this quote you agree to bla bla bla" right in the field before the signature.
The problem, as far as my layman's knowledge is concerned, is that this procedure is not permitted under German law or at least is not binding and could be legally challenged.

Hence the idea with the checkbox. But of yourse, it could be, that I'm wrong regarding German laws.

My pleasure! I am not familar with German law requirements, so I don't have any advice there. A half-baked idea that came to mind is using a form somehow. You could create a form that has email and whatever info you need with some consent boxes, such as this:

Then, you could grab the embed code for the form:

and add it to your quote template:

Pick the section you want to update and add the embed:

All this said, it does not look like the form selections remain even after submitting and reloading the quote, which seems like the initial problem. Possibly checking this when creating the form will repopulate information:

@karstenkoehler, do you happen to be familiar with the German law requirements Sebastian mentioned?

Ryan, this is an awesome approach. I will definitely try that.

And in parallel, I'll reach out to a lawyer to confirm that we indeed need this active confirmation in Germany.

For now, I'll accept your answer as solution and we'll see what the future brings. 🙂
