Hi,

Can anyone let me know how to create the contact/lead feedback report? Say we work with an agency who helps generating leads through marketing channels for us and those leads are assigned to sales reps.

Sales reps outreaches to assigned leads and adds the notes for each of the records they work on. To do the lead analysis how can i create report which will fetch the last note which sales reps has entered on their respective records. I created custom report but it's not showing me unique records, say if contact notes are updated twice in a day it should show me the record of latest notes but also showing the data of previous note.

Is there any way to have unique contacts with their latest notes in the report? Please advise.

Thanks

Hi @ajinkyamurtey there isn't a way to limit it to the latest/unique note only. I had someone on my team working on a similar report this week where they wanted to isolate deals with recent tasks and it was doing the same thing - pulling the deal in more than once if there was more than one activity.

How do you plan to use this report? That might helps us to find a better solution.

@Jnix284, thansk for your response. So let me tell you whole story. I work in Real Estate sector, we are currently using other CRM which I'm trying to replicate similar kind of process for our sales team. Our main leac acquisition channels are through Inbound Calls and Paid Campaigns.

We are onboarding HubSpot in our company with Marketing and Sales Hub. In current CRM if any new lead is acquired then it is assigned to sales rep on round robin basis, based on the project for which lead came for. Similarly, if same lead reappears then it's again assigned to sales rep with new stage.

In every 15 days we do lead analysis by fetching down the excel report about the leads and last note entered by sales. So is there any way to built in HubSpot?

Also, I would like to know from your expertise few things. We are into the presales process, I want whenever any new contact is created or contact resubmits the ads form on paid media channels then auto lead should be created. Meaning, for a single contact there can be multiple leads associated. Not sure if this is the correct way to do it or do you suggest anything on this? Like should I use deal object instead of lead?

Also, I want to setup stages flow in a way that say if lead stage is in New then sales rep should be able to move it to only Attempt to Contact rather than directly marking it as Disqualified. Something like they can go to from Stage A to Stage E only if they first move lead to Stage B first. And all these stages date should be captured for reporting.

Please let me know if this can be done

you're welcome @ajinkyamurtey, happy to provide further insight.

For lead analysis, I'm struggling to understand how the last note is relevant - typically a smaller subset of leads are evaluated at a deeper level to identify opportunities to improve processes, nurturing, etc., so without knowing more about how you're using lead analysis, it's hard to wrap my head around the value of only seeing the last note for all leads (which as I mentioned before, wouldn't be possible to build the way you'd like).

I would stick with the lead object, I don't see a reason why having the lead triggered multiple times would cause an issue if you want it to trigger based on each form submission - as long as your team is aligned around the process for each form submission and how to respond.

Coming from a background in real estate, I know that many prospects will inquire about a house, only to never respond to follow up, and then inquire about another one and you hear from them on the first attempt - it's a little more finicky than other lead types IMO.

There isn't a way to limit the lead stages to avoid skipping a step, this is where lead analysis would be helpful to catch when this is happening, determine why it's happening and coach your reps to avoid it.

Deal stages just recently had this capability added, I'm not sure if it will become available for Lead stages down the road, but I would suggest adding it as feedback within the prospecting tool or by adding the idea here.
