Create a dashboard to analyze my sales evolution

Hello,

I'd like to use Hubspot to track and analyze my sales precisely. Do you know if there are any functionalities (report creation, for example) that allow me to see directly the evolution of my sales between two periods and to see what is the reason for this evolution (transaction that was not expected, increase or decrease of a transaction, etc.). I'm currently using Excel to do this manually, and I'd like to be able to automate it. I've seen that there's a function for tracking recurring income, but I'm not sure if it carries over to my case (https://knowledge.hubspot.com/deals/track-recurring-revenue-with-revenue-analytics).

Hey @Tim_dgn, thank you for posting in our Community!

You can create custom reports in HubSpot's reporting tool to track key metrics related to your sales performance. This includes revenue generated, number of deals closed, average deal size, etc. You can then compare these metrics between different periods to analyze trends and identify significant changes. Hi @Tim_dgn you can create custom reports that will be able to compare different time periods as @PamCotton mentioned - there isn't any intelligence built in to identify the reason, this would require some sort of AI analysis of the data to determine outliers, etc. which isn't native functionality.

You mentioned you were currently doing this in Excel currently - is that only the comparison reporting or also identifying the cause?

In your Excel studies, what other properties are you tracking, other than sales volume and close month?

The custom report builder includes a pivot table feature similar to pivot tables in excel. You could use these pivot tables to look for correlations between sales and marketing activities and sales volume during two periods. If sales trended upward, which other metrics trended upward? For example:

More leads from Inbound sources vs Outbound sources? (Organic Search, referrals, etc) vs Outbound sources (Offline from imports or manual CRM input.)
More meetings?
More calls?
More emails sent?
New templates and sequences used?
Different sales documents used?

Once you underrstand the key drivers that lead to sales success for your team, you can use a mix of tabular and graphical reports on a single dashboard to track these key metrics relative to sales over the long term.

You may already know which drivers you should be tracking, based on your excel work, so maybe you can skip the first step until you have an event where the change in sales volume isn't explained by changes in the other metrics, at which point you can dive back in to see what's happeing.

To answer you @Jnix284, my work on Excel allows me both to see the comparison report and to identify the cause. To do this, I use my estimated sales (i.e. my annual budget) which I compare with all my Hubspot transactions over the given period. So do you know if it's possible to import my budget (estimated transactions at a given date) into Hubspot? This would allow me, for example, to build a pivot table as @trevordjones mentioned. I didn't know about this feature yet, thanks to you!

@Tim_dgn Thank you for the additional details about how you're using Excel for this report.

To add your estimated sales / budget, you would need to create a forecast for your pipeline which would then allow you to compare actuals to goals.

I have a new question. In your opinion, is it possible to create a report that includes the history of transaction amounts and thus see the evolution of transaction objectives over time? Also, can the forecasting tool retrieve this data directly?

Hi @Tim_dgn I think it would be helpful to have a little more context around what you mean by the history of transaction amounts - for the same deal or all deals?

Also, I'd recommend creating a new post with your question and a little more background so it's visible to others in the community, too (you can tag me and Trevor too, we'll be happy to jump in there to help further, I'm just worried it's going to get buried here in the replies)
