Dashboard report showing percentage of properties without any value

Hello,

I would like to build a (bar chart) report embedded in a dashboard that shows for the Contact / Company object the percentage of known vs. unknown values of different properties in a certain timeframe.

Example: Object: Contact

Salutation: x% Known Value, y% Unknown Value
First Name: x% Known Value, y% Unknown Value
Last Name: x% Known Value, y% Unknown Value
Email Address: x% Known Value, y% Unknown Value
Phone Number: x% Known Value, y% Unknown Value

The idea is to see where we are missing out information and need to undertake initiatives that the data of a contact is more complete.

Now, my question is how I can setup such a report? I couldn't figure it out yet.

BTW, we use Hubspot Professional w/o Operations Add-on.

Hey @FLIPPP, great question!

I don't believe it's possible to pull a report that shows you percentages, but you can definitely create a report that will show you how many contacts do/don't have a value for those fields! Honestly though, if your goal is determining which contacts are missing key information, you'd be better off creating active lists.

There may be a better way to do this in Operations Hub, but I would create an active list that pulls in all contacts where:

"Salutation" is "Unknown"
OR "First Name" is "Unknown"
OR "Last Name" is "Unknown"
OR "Email Address" is "Unknown" (this one is a really big deal since HubSpot uses the contact email address as the unique identifier to ensure that no duplicates are created. If you have contacts without an email address, make sure you check for other records in the system that you can potentially merge)
OR "Phone Number" is "Unknown"

That list will pull in the specifc records missing any of those key data fields. You can also create separate lists for each property if that's easier to manage. Once you have your list, I've found it's easiest to export it into a spreadsheet, complete the missing fields, and reimport it to update the existing records.

If you need to to visually report on these contacts as well, you can use "List membership" as a filter to automatically narrow down your reports to just the contacts who meet the list criteria.

For my case a list would be not very helpful. I am specifically interested to have an overview how complete our data is without exporting and going through a list.

I understand that this doesnßt seem to be possible. I don't know what functionality Operations Hub offers.

The ability to report percentage is important in establishing metrics like marketshare. If you want to know what percentage of the attainable market you have it would be nice to create a report on that KPI.

With all the recent updates, has anyone found a way to do this? I know I can create individual reports for a field, but there might be 25 fields or more I want to see. That is cumbersome. What I need is a general percentage of the fields that have a value within a deal. Is that possible?
