      <description>&lt;P&gt;Hi, is there any easy way to check the quality of data without the Operations Hub? I just inherited a new HubSpot instance with about 7K contacts in the CRM and I'd like to do a quick check to see how much of it is quality data.&amp;nbsp;&lt;/P&gt;&lt;P&gt;&amp;nbsp;&lt;/P&gt;&lt;P&gt;Appreciate any suggestions!&amp;nbsp;&lt;/P&gt;</description>

&lt;P&gt;I usually spin up a few reports such as:&lt;/P&gt;
&lt;UL&gt;
&lt;LI&gt;Contacts without first name&lt;/LI&gt;
&lt;LI&gt;Contacts without last name&lt;/LI&gt;
&lt;LI&gt;Contacts without [whatever the business defines as necessary data]&lt;/LI&gt;
&lt;LI&gt;Contacts without company association&amp;nbsp;&lt;/LI&gt;
&lt;LI&gt;Deals without associations&lt;/LI&gt;
&lt;LI&gt;And anything else as defined by the business as necessary information to either segment, market or report&lt;/LI&gt;
&lt;/UL&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;

&lt;P&gt;we usually create for all of our clients a Dashboard about Data quality with information such as contacts without emails, marketing contacts, deals with no owner and so on.&lt;/P&gt;
&lt;P&gt;This will keep track on any important information that is missing so that the different owners/team can start working on.&lt;/P&gt;
&lt;P&gt;You can also create task to the owner to complete the information.&lt;/P&gt;
&lt;P&gt;Another option is using 3rd party tools to help you complete/clean information and also tools like Supered to help users avoid continuing the mess.&lt;/P&gt;

You can use the deduplication tool, turn on automatic contact to company associations, and setup some formatting and validation rules on customer (or even employee) facing forms to kind of **bleep** issues in the bud. Buy beyond using the the standard tools, you could custom code solutions, or hire a consultant/agency to handle this for you.&amp;nbsp;&lt;/P&gt;&lt;P&gt;&amp;nbsp;&lt;/P&gt;&lt;P&gt;However, the argument we make at Insycle (full disclosure: I work for them) is that a series of one-off data cleanup projects with manual elements is not only more time-consuming but also more costly than simply setting up a solution and automating fixes for all of your most common data problems. We wrote about why one-off data cleanup approaches are less than ideal Sisyphean tasks&amp;nbsp;&lt;A href="https://blog.insycle.com/data-cleanup-costs" target="_blank" rel="noopener"&gt;here.&lt;/A&gt;&lt;/P&gt;&lt;P&gt;&amp;nbsp;&lt;/P&gt;&lt;P&gt;You could look into Insycle. It connects directly to your HubSpot CRM, then has advanced tools for many use cases - daily data quality audits, advanced deduplication to catch more duplicates, deep association management, out of the box formatting templates, standardization of any text field, and tons of other use cases. And you can schedule all of these fixes to run on a set schedule, or even integrate them directly into HubSpot workflows, so that data is cleaned just after it hits your system and before your communications with new customers start going out.&amp;nbsp;&lt;/P&gt;</description>

      <description>&lt;P&gt;This is a super common situation — you inherit a portal, you know the data is probably a mess, but you don’t have Ops Hub to tell you how bad it is.&lt;BR /&gt;Here’s how to do a quick data quality audit with zero additional tools:&lt;BR /&gt;Step 1 — Build 5 active lists to measure your baseline:&lt;BR /&gt;∙ “Missing Email” — Email is unknown&lt;BR /&gt;∙ “Missing Company” — Company name is unknown&lt;BR /&gt;∙ “Missing Phone” — Phone number is unknown&lt;BR /&gt;∙ “Missing First Name” — First name is unknown&lt;BR /&gt;∙ “Duplicates” — check via Contacts &amp;gt; Actions &amp;gt; Manage Duplicates (available on Free CRM)&lt;BR /&gt;Count each list. Divide by your total contacts (7K). Now you have your data quality percentages.&lt;BR /&gt;Step 2 — Calculate a rough “health score”:&lt;BR /&gt;If 20%+ are missing emails, that’s a red flag. If 30%+ are missing company names, your segmentation is broken. If duplicates are over 10%, your reporting is inflated.&lt;BR /&gt;Step 3 — Prioritise the fix:&lt;BR /&gt;Duplicates first (merge via the native tool — it’s slow but free). Missing company names second (a lot can be derived from email domains — someone@microsoft.com = Microsoft). Missing names third (workflows can copy from form submissions if they exist elsewhere).&lt;BR /&gt;Step 4 — Set up a simple dashboard:&lt;BR /&gt;Create a report showing “Contacts created this month where email is unknown” as a trend. This is your early warning system. If the number goes up, something upstream is broken.&lt;/P&gt;</description>

      <description>&lt;P&gt;Most of these solutions focus on cleaning data after it’s already in HubSpot.&lt;/P&gt;&lt;P&gt;That’s where things usually break.&lt;/P&gt;&lt;P&gt;We ran into the same thing — workflows, deduplication, audits… it never really sticks.&lt;/P&gt;&lt;P&gt;What actually worked was standardizing how records get created in the first place.&lt;/P&gt;&lt;P&gt;Different workflows → different creation paths, with the right fields and defaults upfront.&lt;/P&gt;&lt;P&gt;Cut down a lot of the cleanup work.&lt;/P&gt;&lt;P&gt;&lt;A href="https://ecosystem.hubspot.com/marketplace/listing/dynamic-record-creator" target="_blank"&gt;https://ecosystem.hubspot.com/marketplace/listing/dynamic-record-creator&lt;/A&gt;&lt;/P&gt;</description>
