Deal Tag Not Showing UP

Hello:

I've set up a "Stale Deal" tag in our pipeline to show Deals that haven't had any activity in 30 days. My boss has a View Only license and he's not seeing the tag on the Deals in our Pipeline. Is this a set up issue?

I get why this looks confusing @JSchmitz2 ..

Deal tags in HubSpot aren’t global “labels” that everyone sees by default, they’re really just visual indicators tied to specific pipelines or user permissions.

In your case, since you’ve got a “Stale Deal” tag firing after 30 days of inactivity, you as the creator can see it because your license allows editing and workflow-based tagging. A View Only seat, though, doesn’t always display those tags. HubSpot limits what free or “view-only” users can see, especially if the tag comes from a workflow or property condition.

To check: go into Settings > Objects > Deals > Pipelines and confirm that the tag is set up as a pipeline label and not just a workflow outcome. Pipeline labels will appear for everyone with access to that pipeline. Workflow-only status indicators won’t show to View Only userss

If you want your boss to see it, you’ve got two options: either promote their seat to at least a paid Starter seat (so deal properties and workflow labels show), or redesign the tag as a property column in the pipeline view (“Last activity more than 30 days ago”)

That way even a View Only license can filter and view deals flagged as stale.

Hope this clears it up have you tried adding it as a column filter instead of a visual tag? That usually works fine for managers just monitoring pipelines.

My boss likes visual references and he specifically asked for it to show up
in the Pipeline. In fact, his preference is to light up the box around the
Deal in bright red 😞

Is there a way to create a report that shows stale Deals? If so, I could
add that to his Dashboard.

Hi @JSchmitz2,

"Users with permissions to view an object can view tags on individual records", see here: https://knowledge.hubspot.com/object-settings/color-coded-object-tags#view-tags-on-a-record

In other words, a view only seat shouldn't stop a user from seeing the deal tags. I also just tested this a moment ago and a view only user was able to see deal tags perfectly fine.

Can you confirm that you're looking at the same pipeline?

@RubenBurdin what exactly are you referring to with workflow only status indicators?

As per the documentation, deal tags will show the same way for users regardless of how exactly they were applied to a record.

@JSchmitz2 I would also filter (via OR) for contacts with an unknown last activity date - but overall this looks like it's configured correctly. I'd recommend reaching out to HubSpot support via email or chat for further troubleshooting as they can access your portal directly.
