How to Share a Report with Data Breakdown Directly in the Email (Not in HubSpot App)

Hello HubSpot Community,

I am currently trying to figure out if it is possible to share a report via email in a way that both the report and the breakdown of data that the report is based on are included. I would like the recipients of the email to be able to see not only the final report but also the underlying data that generated it, and all of this should be visible directly in the email, not in the HubSpot app.

Has anyone faced this situation or knows if there's a way to accomplish this in HubSpot? If anyone has had a similar experience and can share their solution, I would be very grateful!

Any help or suggestions would be greatly appreciated!

Hi @GabrielNavarro,

If by breakdown, you're referring to the raw report data, then no. You currently have to choose between the visualization or a send of the raw data as attachment.

As workaround however, you could simply include your desired visualization and place a table chart below which replicates the raw data.

It will however inevitably be cut off at some point. If you want to share the entire set of data, you will have to schedule two emails – one with the visualization, one with the raw data. At least that was the case last I tested.

What about creating a board and share the board that includes the 2 charts ?

You can’t currently send both the chart and the raw breakdown inside a single HubSpot email in the way you describe. When you schedule a report email.

HubSpot either embeds the visualization or attaches the export (CSV/XLS), not both at once. The workaround is what Karsten suggested: duplicate the report, add a table-style chart to mimic the raw data, and place it under your visualization in a dashboard emaill

Just be aware that long tables will get cut off in email, so for full detail you’d still need to attach or share separately. HubSpot’s docs confirm that scheduled emails only include chart previews, not the underlying dataset

One trick I’ve seen teams use: send two recurring emails first the visual snapshot for execs, then an automatic export to the analysts. Keeps both groups happy without manual pulls

And if you’re thinking beyond HubSpot, some teams sidestep this entirely by running their reports in a syncable database layer. A tool like Stacksync, for instance, lets you mirror CRM report data into a SQL table in real time. That way you can format the email however you want, combining metrics and row-level detail directly from the synced data without juggling two HubSpot exports
