HubSpot Team Not Available To Assign Report To

I'm working in a Portal that has Users assigned to Teams. The users themselves have access to Reports.

When I clone a Report, I want to assign it as View Only by a certain HubSpot Team. But the Teams are not listed. The users are, but not any of the Teams.

Why might this be?

Hi @Crystal_Hopper,

Could you confirm that you have this permission, under "User & account access":

Limit access by teams: toggle the Limit access by teams switch on to let users share assets with other users. Users with this permission have access to all assets no matter what team they're on.

Also, there is this note on the article about managing access: https://knowledge.hubspot.com/account-security/limit-access-to-your-hubspot-assets

Generally, if a user has Limit access by teams permissions, but is in a team that does not have a child team, the option to assign to teams will not appear.

Frankly, I don't follow why this behavior would be set up that way but you could review (a) your permissions and (b) the team you are on yourself. Lastly, being a super admin should override all of this.

This is a great question.I would like to start by sharing that this is a known limitation in some HubSpot accounts.

Why you’re not seeing Teams in Report permissions:
1. The ability to share custom reports or dashboards with Teams is only available on certain plans. Please confirm your HubSpot subscription.
If you're on Starter or Free, you'll only see users, not teams in the visibility settings.

2. You should have "Edit Reports" Permission; Only super admins or users with full report permissions can manage visibility by teams.

3. If you are on a supported plan but teams still don't appear: Go to Settings → Users & Teams → Teams
Make sure teams are: Created properly, Assigned users, Active (not archived or unassigned)

Another suggestion is to use Dashboard - Instead of cloning individual reports, add the report to a dashboard, then share the dashboard with the team (if available in your plan).

Thank you for the insights, @karstenkoehler! All of the Account Access settings are turned on for me but this particular setting wasn't in the list.

It could be my Partner status doesn't allow it. Thank you for the assistance!

Thank you, @SanjayKumar, for the details. I can clone a Dashboard and assign it to the Team I want. I didn't originally think of doing it that way, so thank you!
