Thank you! We were able to use datasets and utilize that beta feature to build a report with weighted activity counts.

Sales Rep Ranking Reports

We are trying to build out a competitive sales rep ranking dashboard based on multiple activities (calls, emails, talk time, LinkedIn messages). We’d also like each of these 4 activities to be weighted differently.

For example:
Talk time – 35%
# logged completed calls – 25%
# logged LinkedIn messages – 25%
# emails sent – 15%

We then want to use this data to build out a constantly updated bar chart split up by the rep's name, with their combined activity score after the activities are weighted.

I'm curious if anyone has done anything similar, such as with calculated properties or something similar. Thank you!

Hi @KendallS,

Building reports on the amount of activites by type is not an issue in HubSpot and actually fairly straightforward in the custom report builder: https://knowledge.hubspot.com/reports/create-reports-with-the-custom-report-builder

You would choose activities as a data source, then visualize the count of activities, break down by by activity type, and display different bars for "Activity assigned to". In the report filters, you can also apply an activity type filter to exclude those you're not interested in.

I'm not aware of any features to apply weight as you described. One approach here could be formula fields in reports: There is a beta here called 'Formula Fields now in Custom Report Builder' (Settings > Product updates > All product updates'). https://knowledge.hubspot.com/reports/create-formula-fields-in-the-custom-report-builder

Using formulas, you should be able apply weight to the individual activity counts.

Best regards!

Sounds like the Beta worked for you, that's awesome!

If you ever hit any limitations with it, a lot of teams solve use cases like this using Coefficient's HubSpot certified 2-way sync between HubSpot and Sheets/Excel.

With Coefficient, you can:

Pull all your activity data from HubSpot (calls, emails, meetings, etc.) into a Google Sheet

Add in any non-HubSpot logged activity if you need (Coefficient connects your spreadsheet to any business system)

Apply custom weights with simple formulas (you can use AI to write any formulas you need without leaving the sidebar)

Calculate a total activity score per rep

Build a bar chart that updates automatically by keeping the Coefficient imports on a refresh schedule

And even send it to your team or leadership on a schedule, no HubSpot license required

You can even embed your Sheets visualizations in a HubSpot dashboard with Sheets publish to web functionality.

This will give you a flexible, scalable, always-up-to-date leaderboard without needing custom properties or workarounds in HubSpot if things ever get too complicated!
