Deals and related renewal deals report

Hi,

I hope you're doing well.

In our company, when a deal is won, a renewal deal may be created based on the terms of the original deal. The renewal deal's close date is automatically set according to the term of the original deal.

I’m looking to create a report that includes the following:

One column listing the original deal (e.g., Deal 123) along with key details such as price, close date, and owner (in the next few columns).
Another column showing the corresponding renewal deal (e.g., Renewal - Deal 123) and its related information in the next columns.

Could you please guide me on how to create this type of report?

Hi Emily!

To create a Deals and Renewal Deals Report in HubSpot, try these steps:

Step 1: Ensure Your Deals Are Properly Associated

Make sure that renewal deals are associated with their original deals. You can do this by:
- Using deal associations
- Adding a custom property on the renewal deal to store the original deal’s name or ID.

Step 2: Create a Custom Report

1. Go to Reports

Navigate to Reports > Create Report > Custom Report Builder.

2. Select Data Sources

Choose Deals as the main data source.
If your renewal deals are associated via a custom property, include Deals (again) as a second source.

3. Add Filters to Differentiate Deals

Use a filter to separate original deals from renewal deals:
- If you have a property called “Deal Type” for example, filter Original Deals as “New Business” and Renewals as “Renewal”.
- Alternatively, filter by deal names (if renewals follow a naming convention like “Renewal - Deal 123”).

4. Set Up Columns

Add the following columns for original deals:
- Deal Name
- Amount
- Close Date
- Deal Owner

Add a second set of columns for renewal deals:
- Renewal Deal Name (matching the original)
- Renewal Amount
- Renewal Close Date
- Renewal Deal Owner

5. Join the Data Correctly

If you are using associations, ensure the renewal deal is linked to its original deal.
If using a custom property, use a lookup to match deals based on the Original Deal Name/ID.

6. Visualize the Report

Use a table format to display both the original deal and its renewal deal side by side.
Optionally, add a funnel view to see renewal trends over time.

7. Save & Share

Save the report and share it with relevant teams.

Alternative Approach: Use Workflows for Automation

If deals don’t have a clear relationship, consider using a workflow to automatically set a “Related Deal ID” property when a renewal is created or populate a report-friendly “Original Deal Name” property on renewals.

Hi Damian,

Thank you so much for you quick reply! I have never used association. I have just looked it up on the internet, do I have to create the association one by one?

Now I look at the Deals in my company, the renewal deal appear in the original deal´s page in an associated deal card, like this:

But if I go the association page, there is no label created:

But now that the renewal deal appears in the page of the original deal, does that mean they are associated in certain way? How can I include the two deals in the same table in a report?

Hi Emily,

Since the renewal deals are already appearing in the associated deals card, HubSpot has automatically linked them. However, they don’t have an association label which is why you don’t see them under the association settings.

The good news is that you don’t need to manually associate them one by one. If you want more structured reporting, adding a custom association label would make filtering easier.

To add an association label, go to Settings > Objects > Deals > Associations and create a custom label for renewals.

Without a label: The deals are still linked, but filtering them in reports might be trickier.
With a label (e.g., “Renewal of”): You can explicitly define the relationship and make reporting easier.

Let me know if you'll get the right report this way. You can use the same workflow as in my 1st message.

Thanks for your reply. Is it possible to create a report wihtout creating lable? I don´t I have permission to create the lable. I have to ask my manager to give me the permission. If I can create the report by now that would be perfect. And in the future we create the lable to make the leads association better identified.

You’re welcome! Yes, you can absolutely create a report without an association label. Since the deals are already linked in the associated deals card, you can use HubSpot’s Custom Report Builder to pull in both the original and renewal deals.

That would be great! It´s a great news that it is possible to pair the original deals and the linked renewal deals in a report.

Could you help me with this? I don´t know how to pull them and pair them in a report.

So in the custom report building, I choose deals as data source:

Then I click "next" and I select "table". In Columns, I choose "deal name", "deal stage" and "renewal date".

Then what should I do to pull the information of the linked deals? For example, for the next column, I want it to be the name of the linked renewal deals. How can I do that?

So, If you add 'Deals' twice and you use a filter in the top menu 'Filter', you can make HubSpot show the Renewal deals if you use '

Is equal to' You just have to give the exact name of the renewal object.

It should pop up in the rapport.

Hi Damian,

I am sorry I still don´t understand.

When I create the report, if I choose deal as primary source, then for second source, I cannot choose deal again. So later on in the report data section, I cannot choose "deal name" twice.
