Hi there,

We are setting up exact online for a customer and during the sync with HubSpot we get the error: 'account should be present'. We can't find the reason why and would love to know how we can fix this. Anyone else had issue with this before?

Hi @Pedrodelamigo ,

The error message "account should be present" typically indicates that there is a missing or incomplete account detail required for the integration between Exact Online and HubSpot. Here are some steps to troubleshoot and potentially resolve the issue:

Check HubSpot Settings:

Ensure that the integration is set up correctly in HubSpot. This includes verifying the API key or authentication details used to connect to Exact Online.

Verify Account Mapping:

Check if accounts in HubSpot are mapped to their corresponding accounts in Exact Online. Inconsistencies in mapping can lead to this error.

Confirm Account Existence:

Confirm that the specific account HubSpot is trying to sync actually exists in Exact Online. There might be a mismatch in account IDs or names.

If the above steps do not resolve the issue, consider reaching out to Exact Online and HubSpot support for further assistance. They may be able to provide more detailed guidance based on your specific setup.

Update from this on the Exact Side. This seems to be an issue in Exact is the API of Exact Online is requiring that there is a company connected to the account. The solution of connecting Exact and HubSpot is mainly for B2B, not B2C (or you have to make each individual a company, which isn't the right use case for this).

Contact with Exact turns out that they are aware of this problem but are not going to change the API for this. It's a bit like: fix this one yourself..

Hi @Pedrodelamigo

That error usually comes from Exact’s API expecting an “account” (company) field to always be present.

If you’re syncing B2C style data (just individuals), the API blocks it unless you connect them to a company record. That’s why the integration works fine for B2B setups but throws the “account should be present” message in your case.

A workaround some folks try is to auto-generate lightweight company records in HubSpot for those contacts, just so Exact Online receives what it needs. Another option is to adjust the mapping so that “account” in Exact is always populated from HubSpot’s company object (even if you only use one generic placeholder). HubSpot’s help doc on company/record associations has a few pointers here

Since Exact confirmed they won’t change their API, the practical solution is either to redesign your sync flow around companies or add a preprocessing step that ensures every record has an account tied to it before it hits Exactt

And just as a side note, some teams sidestep these kinds of roadblocks with tools like Stacksync it handles cross-system requirements like “always attach a company” by auto-filling missing associations and pushing the clean record across both systems in real-time, so you don’t have to patch things manually each time.

Hope this helps.

Exact Online sync errors often result from field mismatches or API limits. Skyvia supports detailed mapping and logging, making it easier to control and debug data syncs between platforms.
