Issue with setting up Google Sheet integration

Hello!

I'm struggling to set up my first workflow, to update contact records on google sheets using the GSheet integration.

I've set it up so that - in theory - whenever a contact name or last name gets updated on SalesHub, the change is reflected on a google sheet.

In practice I have two issues:

1. I couldn't find any "whenever property value changed" but only "property value change: value is known", so it only works once. If a contact gets an update in the name, the workflow doesn't run, I guess because it goes from "known" to "known" and not "unknown" to "known.

2. Even for contacts with blank Name/Last name, it says on HubSpot that the workflow ran correctly, but the sheet doesn't actually get updated. What could this be?

Hey @giogiogio,

regarding the first issue: The "is known" trigger actually works exactly as you need it (just make sure re-enrollment is active). If it doesn't work as expected, switch the trigger type to "filter criteria met" instead of the event-based trigger.

For the second issue:
Could it be, that the "Company Name" is not a unique value, so the Google Sheet Integration can't figure out which cell to update? I'm not too familiar with the integration, so I don't know if it's theoretically able to update multiple cells with one look-up.

Thank you! I went through the sheet and found a duplicate, I deleted that row, re-ran the automation and now it works.

I also enabled re-enrollments to enable update of already-filled fields.

Have you tried using connectors like Superjoin?

You won't have to go through the trouble of setting up workflows for this. They have auto-sync, so you pull data once, map the columns and the name will get auto-updated when you do it on Sales Hub.

I've used this for deal status and worked pretty good.

Setting up dynamic syncs from HubSpot to Google Sheets through native workflows can get a little tricky, especially around triggers and data reliability.

Issue 1: Workflow only runs once (value is known trigger)

The trigger “property value is known” only fires the first time that field gets a value, not when it changes later. To track every update, you need to use the trigger: "Contact property changed"

You might not have seen this because it's buried a bit deeper in the workflow setup. It will trigger any time the property value is modified, regardless of whether it's going from blank to filled or filled to updated.

So in your case, set up the workflow to trigger when:
Contact property is updated > First Name OR Last Name

Issue 2: Sheet not updating even though the workflow says it ran

This could be a couple of things:

Double-check that your Google Sheets action in the workflow is correctly mapped to the right fields (e.g., First Name and Last Name).
Make sure the Google Sheet still has API permissions connected to your HubSpot account. If there was an expired token or disconnected integration, it might silently fail.
Also, be sure the row is being matched correctly. HubSpot usually requires a unique value (like email) to update an existing row vs. adding a new one.

It syncs HubSpot data live into Google Sheets (2-way sync), so you don’t need to rely on workflows at all. Your Sheet updates automatically whenever HubSpot data changes.

You can even schedule automatic refreshes or filter the data however you like.
