Setting Up License Renewals and Automated Reminders both for Customers & Sales Team

Hey everyone,

We (as company) are reseller of some license based softwares.

(For example Adobe, Autodesk and etc.)

Our main customer portfolio is based on license selling and license renewals.

So, we would like to set a system for these licensing processes.

Our main goal is tracking the license renewal dates and remind the inside sale team and customers.

It would be better if we can use automation/workflow for this.

Could you please provide assistance for how to do?

Hi @ÖKöksel ,

To do this, if you are setting a renewal date on your deals, (or if you're using a separate pipeline for renewals you could also use the close date). you can create a deals workflow that is set to trigger based on if the "renewal date" is less than "X" days from now, and the stage has not reached "closed won", "renewed" or whichever stage you have defined as a successful renewal.

From there you can send an internal email notification to alert the deal owner to follow up on the renewal. Here is a screenshot to show roughly what it should look like, however you would need to use your own renewal date/close date properties to get it working properly for your instance.

We've built a Recipe to handle Renewals. A Recipe is a small process that you can install in your HubSpot portal. This doesn't require any third-party tool.

Renewal deals are created automatically for each closed-won deals with a known contract end date. Then, a task is generated with a reminder date XX days before that contract end date to notify the deal owner (or another user of your choice) that the renewal is coming soon.

Other settings and configurations are also available to suit your use case.
