Our sales team is fairly small at the moment given that we're a startup, but we'd like to set up a sustainable long-term solution that would allow us to automatically assign contacts and leads as we grow. Perhaps a round robin strategy? What are some best practices for setting up our sales team for success?

Hi @monetm,

Setting up an automated system for assigning contacts and leads is crucial for efficiency, scalability, and fairness as your startup grows. Implementing a round-robin strategy is a common approach, but there are other strategies and best practices that you might want to consider.

Here are some different approaches, with the help of generative AI:

Round robin: This is a fair and simple method, where leads are distributed evenly among sales reps in a rotating sequence. It's ideal for ensuring that everyone has an equal workload.

Skill-based routing: Assign leads based on the sales rep's expertise or past success with similar clients. This method may require more setup and data tracking but can lead to better conversion rates.

Territory-based assignment: If your leads come from different geographical areas, assigning leads based on territories can be effective. This allows reps to specialize in certain regions.

Priority-based routing: Leads can be prioritized based on criteria like deal size, industry, or urgency, and then assigned to reps with the capacity or expertise to handle them.

Once you've determined which approach you want to take, you could design HubSpot workflows accordingly: https://knowledge.hubspot.com/workflows/create-workflows

Workflows are a Professional and Enterprise feature and could enroll new contacts, then check for contact characteristics before using the 'Set property value' or 'Rotate record' workflow actions to specify the owner: https://knowledge.hubspot.com/records/how-to-set-a-record-owner#assign-owners-via-workflows-professional-and-enterprise-only

Let me know if you have any follow-up questions!

Hi @monetm, to ensure smooth lead distribution as your startup grows, setting up an automated system is a great step. A round-robin strategy is effective for distributing leads evenly among your team. For long-term sustainability, focus on scalability and alignment with your CRM.

Some software options to consider:

LeadAngel – Provides advanced lead/contact/account/opportunity routing and segmentation capabilities, integrating seamlessly with Salesforce, Hubspot and other CRM.
LeanData – Known for flexible lead distribution options, especially useful for complex routing rules.
Distribution Engine – A Salesforce-native tool designed for automated lead and case assignment using round-robin and other strategies.
These tools can help streamline lead assignment as your team scales. Hope this helps!

Great breakdown in this thread. One thing worth adding for anyone on Starter hitting this wall the Workflows route (round robin via "Rotate record to owner") is solid if you're on Pro, but if you're not, your options are basically manual process, Zapier hacks, or a lightweight routing tool.

I ran into this exact problem with a small sales team and ended up building HubBridge specifically for this , it connects to HubSpot via Private App and handles weighted lead rotation automatically when a new contact is created, no Workflows tier required. Costs $49/month and the first month is free if you want to test it before committing. Happy to answer any questions about how the routing logic works.
