We recently migrated to HubSpot from another CRM. We have an internal event coming up and would like our staff to fill out a form to update their information. In previous years, we would send out a link to our staff and include a checksum token that would lookup their contact record and prefill the form with any known information.

I read through the Auto-populate form fields with a query string article but I'm not sure this would scale for us. Is there another option to achieve what we were doing in our old CRM? Not looking forward to writing a mile-long URL for our staff. Is there another way to do this with a single lookup token?

Hi @zachtaylor,

If you want a property value to be preselected you can do so via form settings  (you can also make it hidden) the query string method is for more dynamic use cases (like for catching UTM sources via different channels(

Best

Hey @zachtaylor

have you tried the native option in forms that pre-populates the information known?

This way when anyone enter their email or company URL

the fields known in the forms get completed.

Hope this helps

@Lucila-Andimol It was my understanding that this only worked if a contact had cookies stored from a previous submission. We have several staff that haven't completed a form before so I thought that this wouldn't work in those cases. Did I misunderstand how that feature works?

Thanks,

Zach

Could be that the contact filled the form in the same device (Pc or mobile)

OR in the same tracked site (landing, website page)

Here is an article with more info about this

Hope this helps
