Transfer from pipedrive into Hubspot

Hey community,

I am about to change our CRM from Pipedrive to HubSpot. Nevertheless, I did not find a best practice to transfer EVERY DATA from the old into the new system. I am convinced, that many people already changed from Pipedrive to HubSpot, which is why I am asking you know to help me on this.

I already used the Pipedrive app inside HubSpot marketplace, but with that only deals, contacts and companies can be synchronized. A good start, but most important information is missing (e.g. the notes, calls, emails, etc. within one deal).

How can help me out here? I already checked tools like Zapier, automate.io, etc. to that. There are ways to transfer single information, but I am looking for a (ideally) one-step solution for that!

Hi @PDressler,

There are some vendors who offer migration services or import tools, namely import2 and Trujay. These would be the first ones I'd evaluate if you're looking for a solution where you don't have to touch anything.

As an alternative you could familiarize yourself with the export files from Pipedrive and the import features of HubSpot. It can be done but it can also get complicated.

thanks for your swift response and help on this. I just started trying it out - one quick question on that: Do you know for sure that also activities within a deal can be transfered? While setting up the transfer of data, I can choose "activities" as a field in Pipedrive to get the data from. But I cannot find the field "activities", "notes" or something similar in HubSpot to transfer the data to. It appears to me that the content of a deal cannot be targeted inside HubSpot. Any idea?

I don't have a Pipedrive instance to test but it looks like activities can be exported: https://support.pipedrive.com/en/article/exporting-data-from-pipedrive

"The export from settings will allow you to export all data related to deals, organizations, people, activities, or notes individually."

To import activities in HubSpot, a tool is needed, see here.

sorry to keep going on this, but you seem to be an expert 😉 Problem is not to export activities from Pipedrive but to import those activities into HubSpot. Using tools like Trujay seems sensible, but I cannot choose "activities" or "notes" or something similar where I can transfer the Pipedrive data to. Meaning: Hubspot does not show "activities" or "notes" as field inside tools like Trujay.

It seems, that HubSpot does not show any fields inside a deal, incl. mails, meetings, etc.

Hey @PDressler, we're undergoing the same issue, especially trying to transfer over notes and email interactions previously captured on Pipedrive. Leaning towards using a migration service as PD doesn't seem to make it easy (the notes weren't tied to email addresses, but rather to contacts). Just curious to hear whether you found a solution that works? @karstenkoehler thank you for your suggestions and input – they've been helpful in our evaluation as well!

Hello @heej, unfortunately I did not find any working solution for that. I was told, that activities within a deal cannot easily be transferred, which means an API is needed for that. Since we only have around 1.5k data sets in total, I migrated static data (like companies, contacts, etc) via excel import & sync via Pipedrive app. Activities in deals will be migrated manually and only the important ones. That takes some time, but with a few people it is done within a week.

Just wanted to correct this as I am in the middle of the headache that is importing 13K of data from Pipedrive to Hubspot (ouch), and Pipedrive does not allow to export notes, activities or emails attached to transactions. I'm looking for a workaround, as forking out 1000 $+ for trujay to import data is out of the question (no budget left for this), I will try to post something if I find a way to get it done to help others (even HS is not being helpful in the migration process, lol, apparently being very touchy regarding ID numbers for objects like transactions and contacts etc).

Moving from Pipedrive to HubSpot is generally pretty straightforward, but it does require some planning to make sure everything maps correctly. The native HubSpot import tools work fine for basic data like contacts, deals, and companies, but they can miss details like custom fields or notes if not set up carefully.

If you've got complex data or lots of customizations in Pipedrive, tools like Skyvia might come in handy—it's pretty good at handling detailed mappings and keeping associations intact without needing a ton of manual cleanup later. Either way, double-check your field mappings first, and maybe do a small test import before jumping in completely.
