Send a Quote to customer (With variations)

Hi,

We would like to create quote templates in HubSpot and send them to a customer when the deal is set to closed won.

In the basic, we are sending a quote to be signed to the customer and after he signed, it is sent to the CFO (HubSpot user) to sign on it as well after the customer signed the quote.

We are managing fields on the Deal level, and we want to set a condition that if the field value = "X", then we don't want to send the quote for approval for the CFO (HubSpot user) - Only the customer will sign in that condition.

Is it possible to do so?

Hi @OBetzalel,

Unfortunately, the countersigner option is not something that can be dynamic based on a property on the deal. Potentially if/when auto-quote generation is built into workflows it could be a possibility. There's an idea on the forum already for that:

1. So basically I need to create 1 quote and before I send it to the customer I will have option to choose the customer I will send to, and the countersigner? So I need to check manually?

2. There is no other option to do this with development?

Yes, that is correct. It's very straightforward.

There is a quotes API endpoint if you want to custom-develop something. If you want to explore that further, you can find the documentation here.

How's it going?

We have an quote automation app for HubSpot called Portant. You can build two workflows, one for countersigned quotes and one for non countersigned quotes and these can be triggered by any property in your deal

User can click a button in the HubSpot contact page and generate the quote.
Portant would check the "Countersign property" in your HubSpot Deal and run the workflow that generated the correct quote (with or without countersign).
The quote is automatically emailed to the customer for signature (and the CFO if needed)

The free version include a logo of portant in the signature template for the customer to sign? and we can run this automation from the deal page, or we have to go to the contact in HubSpot and send it? how do we set that it will send to the right contact from the deal page?

No problem @OBetzalel! Yes, in the free version that is correct, there is a logo.
Yes, you can run the automation directly from the Deal page 🙂

@james-portant Okay, but if we can send from a deal page, how do we determine the contact we want to send the email to? becuase we need to associate the product line items of the deal with the right contact, so how will it send to the right contact again I did not understand?

Currently it selects the first contact and sends the signature request to them. But coming soon is the functionalty to select the contact from the deal. This will be released in Q1 and I will send you an email when it's ready.

Good news! You can now select associated objects when running Portant Workflows from HubSpot. Now when you select the automation to run a *new* modal will appear which allows you to select the objects you would like to include in your deal, like this:
