Trigger Workflow Based When You Associate A Contact and/or Listing With A Deal

The new "associations labels" with HubSpot is quite cumbersome with the new settings in workflows. With that being said, I'm looking to trigger a workflow when I associate a Contact and/or a Listing with a deal.

When I send my ops guy in the associate whatever Listing goes with a deal, can I trigger a workflow to copy property records?

Hi @CSchenk,

There is no way to trigger a workflow based on the association between to records that was specifically made by a user. It is possible to trigger that workflow if an association was established in general, yes, but that could also have happened automatically.

In that case, you would:

Create deal-based workflow
Enroll records 'When filter criteria is met'
Change the 'Filtering on' dropdown from 'Deal (Current Object)' to 'Contact'
Under 'Contact properties', select any filter that applies to all contacts, e.g. 'Create date is known' (or filter further based on your requirements)
Save this filter, then repeat step 3 and 4 for 'Listing'
Add additional workflow steps as per your requirements

If you only want certain associations to trigger the workflow, you could either reference specific association labels only applied by users or, alternatively, maintain a field on the contact/listing manually so that only records with a value in that field get to enroll (step 4 above).

Hi Karsten, Can you share additional details on how you would trigger the workflow only if the contact associated with the deal has the association label "Example Label"?

Just to confirm, are you looking to trigger the workflow specifically when the contact–deal association is created and that contact’s association label is "Example Label"?

Also, are you using custom association labels or the default ones in HubSpot?

If you can share which workflow type you're using (deal-based, contact-based, etc.) and whether you're hoping to do this with native automation or custom code, the Community can suggest the best setup for your needs!
