&lt;P&gt;My main recommendation is HubSpot-agnostic: Start with mapping out your core use cases and user stories before doing anything else. It's easy to get lost in the weeds of many HubSpot features and focusing on use cases and user stories will help to stay on track.&lt;/P&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;
&lt;P&gt;For that, it can help to go through this free certification course:&amp;nbsp;&lt;A href="https://academy.hubspot.com/courses/hubspot-sales-hub-software" target="_blank"&gt;https://academy.hubspot.com/courses/hubspot-sales-hub-software&lt;/A&gt;&amp;nbsp;- this'll give you (and maybe some other project team members or key users) a better understanding to frame your user stories and use cases.&lt;/P&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;
&lt;P&gt;Once this step is done, I'd recommend reading the knowledge base articles for all of the features that you're use cases or user stories are touching. Yes, this step might be boring but I think most of the knowledge base articles (e.g. on pipeline creation, automation, property creation, workflow, enrollment criteria, filtered views) are very well written. This step will help with getting a better feel for the hidden rules HubSpot is following in a lot of places.&lt;/P&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;
&lt;P&gt;If you have an Enterprise subscription, a sandbox is a always a good idea:&amp;nbsp;&lt;A href="https://knowledge.hubspot.com/account-management/deploy-sandbox-changes-to-production" target="_blank"&gt;https://knowledge.hubspot.com/account-management/deploy-sandbox-changes-to-production&lt;/A&gt; - here you can build and test in a safe environment.&lt;/P&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;
&lt;P&gt;I'm not aware of any specific frameworks for rolling out HubSpot to SaaS companies, unfortunately. In this journey, working with an agency or a freelancer (as a sparring partner) can help, if you find this type of collaboration helpful.&lt;/P&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;
&lt;P&gt;Lastly, a few common mistakes I see:&lt;/P&gt;
&lt;UL&gt;
&lt;LI&gt;Make too many users super admins (and let them meddle with settings)&lt;/LI&gt;
&lt;LI&gt;Creating pipelines with identical stages (typically a sign that they shouldn't be separate)&lt;/LI&gt;
&lt;LI&gt;Not enforcing pipeline rules (blocking stage skipping) right from the beginning&lt;/LI&gt;
&lt;LI&gt;Familiarizing yourself with user permissions too late&lt;/LI&gt;
&lt;LI&gt;Starting configuration without having a good idea of your configuration goals (user stories)&lt;/LI&gt;

What an awesome opportunity to truly put your stamp on the business.&lt;BR /&gt;It sounds like you’ve already received some great advice on the initial setup, so I wanted to share one pitfall I’ve seen firsthand. I like to call it HubSpot Field Paralysis.&lt;BR /&gt;This happens because HubSpot has the ability to do so many things and track a wide variety of information. However, there’s a sweet spot where you move from collecting information that actually helps deals close faster to creating noise that can slow reps down.&lt;BR /&gt;My suggestion early on is to keep things very simple. For every field or data point, ask yourself:&lt;BR /&gt;&lt;BR /&gt;*&lt;BR /&gt;Is this something I can realistically track?&lt;BR /&gt;*&lt;BR /&gt;How will I track it consistently?&lt;BR /&gt;*&lt;BR /&gt;How will knowing this information directly help drive more revenue?&lt;BR /&gt;&lt;BR /&gt;If it doesn’t clearly support that outcome, it may not be worth capturing, at least not yet. Since the question is specifically about SaaS, I'll add a framework we've used across 100+ implementations for B2B SaaS teams.&lt;/P&gt;&lt;P&gt;&amp;nbsp;&lt;/P&gt;&lt;P&gt;&lt;STRONG&gt;The order matters more than most people realize.&lt;/STRONG&gt;&lt;/P&gt;&lt;P&gt;Most teams jump straight into building. The setup order we follow:&lt;/P&gt;&lt;P&gt;&lt;STRONG&gt;Before touching HubSpot:&lt;/STRONG&gt;&lt;/P&gt;&lt;OL&gt;&lt;LI&gt;Map your sales motion first. Inbound, outbound, PLG, or a mix? Each needs a different pipeline structure.&lt;/LI&gt;&lt;LI&gt;Define lifecycle stages with action-based rules. "MQL" means nothing unless you've agreed what action triggers it.&lt;/LI&gt;&lt;LI&gt;Decide where deals get created. Our rule: only at a qualified meeting booked.&amp;nbsp;&lt;/LI&gt;&lt;/OL&gt;&lt;P&gt;&lt;STRONG&gt;Implementation order:&lt;/STRONG&gt;&lt;/P&gt;&lt;OL&gt;&lt;LI&gt;Create all properties first, before anything else. Hide every irrelevant HubSpot default.&lt;/LI&gt;&lt;LI&gt;Set up left and right sidebars on Contacts, Companies, and Deals to show only what reps actually use. A contact card with 40 fields gets ignored.&lt;/LI&gt;&lt;LI&gt;Turn on lifecycle stage automation before importing contacts so records move correctly from day one.&lt;/LI&gt;&lt;LI&gt;Import contacts and create company associations.&lt;/LI&gt;&lt;LI&gt;Build workflows only after the data model is stable. Automating an unstable process just automates the mess.&lt;/LI&gt;&lt;LI&gt;Build reports last, once the data flowing in is clean.&lt;/LI&gt;&lt;/OL&gt;&lt;P&gt;&amp;nbsp;&lt;/P&gt;&lt;P&gt;&lt;STRONG&gt;SaaS-specific mistakes we see constantly:&lt;/STRONG&gt;&lt;/P&gt;&lt;UL&gt;&lt;LI&gt;Creating a new deal for every renewal. One deal per customer, track renewals as property updates unless it's a genuinely new subscription.&lt;/LI&gt;&lt;LI&gt;Treating PLG signups the same as sales-assisted leads in the pipeline. They need separate motions.&lt;/LI&gt;&lt;LI&gt;Building 10+ pipeline stages. Six clean stages with defined exit criteria beats twelve that reps skip.&lt;/LI&gt;&lt;LI&gt;Setting the industry as a contact property. It belongs on the company record. Contacts inherit it through association.&lt;/LI&gt;&lt;/UL&gt;&lt;P&gt;For a 200+ person company, the permissions and team structure conversation should happen before anyone touches a setting.
