Hey there @ADoly (welcome to the Community!) and @Adam_Zabinsky. I don't know that I have an 'easy button' answer, because in part this is a complex question on the more enterprise side of the CRM. I've found that those situations require time, experience, collaboration, and resources.

With that said, I do want to share some thoughts I'd share in hopes of sparking a solution. In your scenario, is the logistics company your business, or is it a client you're trying to manage in the CRM? I ask, because at first I thought mayne HubSpot's multi-account management (in beta) might help. This would create separate HubSpot accounts for each distinct business entity or country division (Freight France, Freight Spain, Express division) if you're the logistics company.

However I think that you're more referring to clients in your CRM. And you're right, the domain-based 'magic' HubSpot has tends to get limited when you're talking about the vastness of an enterprise-level business with complex clients and prospects. I've seen clients develop a clear naming convention strategy that incorporates entity, country, and division information. For example: CompanyName-Freight-FR, CompanyName-Express-ES. This helps identify records, ensure clean reporting, and reduce confusion since HubSpot by default groups companies by domain which is insufficient for multinational companies with different entities. You might also need to create separate company records for each business unit entity and country combination rather than relying solely on domain-based single company records, as this more accurately reflects the real-world structure and relationship distinctions. It just requires more manual work (or complex workflows) to associate company<>contact and company<>company relationships.

One of the workflows you would likely need here is to associate contacts and deals to the correct company record based on specific criteria (e.g., email domain + country + division) and enforce naming standards. Then you might also need to use a tool like Insycle to help standardize property values (states, countries, divisions) and deduplicate contacts across multiple domains or country-specific domains for better data hygiene.

My opinion is that you might want to consider working with a partner who can workshop what you're looking for and propose this custom work, including workflows and custom properties plus additional possible tools, and have them help you build something. Unfortunately, I haven't seen this in an easier answer in my years working in the HubSpot universe.

Hi everyone,

I’m looking for best practices on how to manage large global accounts that have multiple business units and presence in several countries — for example, let’s say a large logistics group.

HubSpot automatically groups everything under a single company record because their domain is something like company.com. However, within this group, there are very different entities that need to be treated separately — e.g. a Freight division, an Express division, a Forwarding division, etc. These are not the same clients, not the same contacts, and not the same offers.

On top of that, each country is also different.

The Freight division in France has nothing to do with the Freight division in Spain — different teams, processes, needs, and opportunities. Yet, HubSpot still sees them as one company because of the shared domain.

I know the multi-country / multi-entity topic has been discussed a few times here, but none of the answers I found seem to fully solve this issue in a scalable or structured way.

Has anyone found a clean and sustainable way to handle this type of setup in HubSpot?

(e.g. naming conventions, custom properties, or structural workarounds that don’t break reporting or associations)

Thanks in advance for your insights!
