Hello! I'm looking to discover if there is an optimal solution for a sales team to store internal documents used in the sales process within HubSpot. We have Sales Professional, CRM, CMS, and Marketing Hub.

The desire is to keep the Sales Team in HubSpot, without the need to access a range of resources outside of the HubSpot environment. For example, we store Excel-based internal profitability calculations on a local server; we have a list of web links to a range of useful tools; we have SOPs; and other information sources that the team needs to reference on a frequent basis. However, all of these documents/links are stored in a number of different locations.

I understand that the Documents feature in HubSpot is really intended for sharing files with customers through the sales process, and for tracking. However, we're looking to store/manage our internal-only resources within HubSpot as well for some effeciency gain and less "searching" for the right file in the right place.

Hi @rburger,

I understand what you're looking to achieve! While HubSpot doesn’t have a single tool designed specifically for internal document storage, you can leverage different HubSpot features depending on the type of content you need to store. Here are some alternatives:

Storing Excel Files & Documents : You can upload Excel files, PDFs, and other document types using the Files feature in the Library section. I recommend organizing them into folders to keep everything structured and easy to find.

SOPs & Guidelines : For internal documentation related to business processes, you can use the Playbooks feature. This allows you to create structured documents with embedded links, notes, and open fields for easy reference.

Sales Resource Page in HubSpot CMS : If you're using CMS Hub, you can create an internal, private webpage to centralize all important links, documents, and tools in one accessible location for the team.

Let me know if you need further help!

Carolina De Mares

Brandgang

Goirkekanaaldijk 14

5046 AT Tilburg

HubSpot’s Knowledge Base or private Wiki pages might be a good option for organizing internal sales resources. You could also use the Documents tool combined with Cookout Restuarant team permissions or link out to a centralized Google Drive directly within HubSpot for easy access.

I have a really good solution for you - check out Box Connector. It uses Box as the backend and has a very slick interface:
https://sparkgridsoftware.com/files/

Hi there!

I saw your question about storing internal sales resources within HubSpot. While a few solutions have been suggested, I wanted to elaborate on Box Connector since it was briefly mentioned.

Box Connector is designed specifically to solve the "scattered resources" problem you described. It allows your sales team to:

- Access all Excel files, SOPs, and reference materials directly within HubSpot

- Organize documents in intuitive folder structures that mirror your sales process

- Set appropriate viewing/editing permissions for different team members

- Search across all your content without leaving HubSpot

The integration appears natively in HubSpot's interface, so your team never needs to leave the CRM environment to find critical documents. We offer a 7-day free trial if you'd like to see how it works with your specific document organization needs: https://boxconnector.sparkgridsoftware.com/trial

You can also find more details on our official HubSpot Marketplace listing: https://ecosystem.hubspot.com/marketplace/apps/box-connector

Let me know if you have any questions about how it could work for your specific sales resource organization!
