Merging Company Duplicates when Salesforce Integration is Active

Our company merged with several organizations and our primary CRM is now Salesforce. We are navigating this issues that come from duplicate companies. When the Salesforce integration is active companies can't be merged in HubSpot using HubSpot's native functionality. API calls to merge duplicates also fail which means tools like Insycle don't work.

We've explored various options, but we have too many duplicates to continue to manage this manually. I'd like to get input from anyone else who has dealt with this. Ideally all duplicates would have been cleaned and perfect before integrating with Salesforce, but that wasn't possible.

I'm currently looking for out of the box solutions, services, workarounds, or custom workflow setups that would handle this on an ongoing basis.

If we used workflows, we would essentially have to reinvent the whole merge process inside workflows (identify the primary account, copy properties between records, combine associations, delete the bad record, etc.). This has downsides such as not using HubSpot's merge which keeps the latest value of each property across all records and merging all timeline activity.

If you have any ideas, please share.

Have you investigated Koalify to automatically de-dupe?

I recommend you talk to @Jonas_De_Mets - he's the expert with everything about de-duplicating in HubSpot.

We've encountered a similar issue. One workaround we found effective was using a third-party data management service specializing in deduplication and CRM integration. Services like Ringlead or DemandTools can help automate and streamline the deduplication process across both Salesforce and HubSpot. It saved us a lot of time and hassle. Hope this helps!

I work for Insycle. Just wanted to check in on this and learn more about what is happening here. Insycle does allow for merging companies with the Hubspot/Salesforce sync active. Here is the help doc on this use case.

Thanks for the reply. I'm familiar with DemandTools, but my understanding was that they don't support HubSpot--just SF.

Koalify now supports company merges even with the Salesforce integration active. We’ve added a workflow-based approach that works around the API limitations while still keeping data and associations intact:

Updated Company Object Sync Between HubSpot and Salesforce

What is it?

Sync company objects between HubSpot and Salesforce with greater accuracy. This new update includes de-duplication features and new support for merging Company objects.

Why does it matter?

Maintain accurate and reliable CRM records between HubSpot and Salesforce. This update strengthens data integrity and streamlines operations for businesses managing customer relationships across both platforms.

How does it work?

When the Salesforce app for HubSpot is already installed, go to the settings icon in the top navigation bar and click on Integrations > Connected Apps > select Salesforce.

All customers will now see a new feature card under the Feature Discovery tab for Upgraded Company Sync. Click the Upgrade button, and your account will be enabled with this new feature.
