Anyone have success syncing Square with HubSpot?

I'm currently using a free account, and trying to get Square and HubSpot to talk to each other so I can link my products to my sales activity in HubSpot. I limited my sync settings to only pull the product name and price, but it keeps excluding my items. I've tried tweaking other settings to see if I can get it to work, but nothing has worked so far.

I understand that you are using the "Square" integration and you'd like to sync Square item names and prices with your HubSpot products.

When you say that "it keeps excluding your items", what is happening exactly, please?
Do you have sync errors? If yes, in the settings of the integration, what are the details of the errors, please?

Are the items not syncing at all? Or only some of them are?

The more info, screenshots (without sensitive/confidential information), and details you can provide, the better the Community can assist.

Thanks for the reply! Here's a breakdown of the situation:

In Integrations, I initiated the Product sync to Square to sync my items
On the Configure page, I left all the default settings as is, with the exception of three mappings I don't need: Product Description, SKU and Image. Those I toggled off
On the Limit page, the only thing I changed was to 'only update existing products in HubSpot', because I plan on making all my edits to items in Square
Nothing to change on the Organize page (Automatic deletions not available)
On the Review page I hit 'Save and Sync'. After a few moments I received the results that all my products are 'excluded' from the sync

No matter how I tweak the settings above I receive the same result. None of my products are eligible for syncing for some reason. If anyone has an ideas I'd be happy to hear them!

Thanks for the additional details @CClaridge, a couple of follow up questions:

1 - the screenshot doesn't show SKU toggled on, only name and price, but your message says you're using SKU - I think you'll need SKU on as a unique identifier between the two systems, are you able to toggle it on? and it still doesn't work?

2 - from the sync overview, when you click the 21 in the Excluded column, does it give you any details about why it was excluded, or does it only list the products?

Hi Jennifer,

I'm not using SKU, Product Description or Image mappings, which is why all three are toggled off. Not sure where you saw mention that I am using SKU, but this is not correct.

I've attached an image of the screen that opens when I click on the 21 excluded items. All items are simply listed in the same manner with no other explanation for why they were excluded.

@CClaridge I apologize, I misread the "I don't need: Product Description, SKU and Image. " when I skimmed over the last reply (I was looking for SKU to see if it was included).

Can you test the sync with SKU enabled? I know it's not required for the mapping, but I had a similar issue with a product import recently and without the SKU value in the import we couldn't get it to go through.

It might not work, just thought it was worth testing to eliminate the possibility so we can troubleshoot further.

I toggled the SKU mapping to ON and tried again to Save and Sync, but got the same results: 21 items excluded exactly as in the screenshot in my previous message.

Since there is a free Square plan and I can connect the integration to our demo account, I'm going to test this out and see if I can reproduce the error.

Will work on this after I get my daughter to school and report back.

@CClaridge I created a test account with Square and added two products, for the sync I selected Square as source of truth:

I also only synced Product and Price:

with these settings:

My two products synced see the bottom of the list (not sure where all the others came from...someone else from my team must have an account):

and some failed, but none excluded:

Can you recreate with all the same settings (if any were different)? and if none were different, then I think you'll need to reach out to Square support for further guidance.

I ended up modifying this one setting and it worked. I wanted Square to be the only place where new products and changes to my items were made, but when I changed it so that HubSpot was the place I would do this, the sync worked. Would be great to know why this setting made the difference, but for now I'm just glad it finally worked! Thanks everyone for taking the time to troubleshoot this with me!

You're welcome @CClaridge thank you for sharing the screenshot, I'm happy to explain why the setting made the difference.

If square can't create the products in HubSpot, then they aren't visible in HubSpot unless they already exist, in which case Square would update existing only.

This prevents new Square products from being added to HubSpot if you want HubSpot to be source of truth.

Essentially by only allowing update, you didn't give permission to Square to create products in HubSpot which is how it would bring the data across.

The products syncing from HubSpot to Square can be turned off, if you aren't changing any products in HubSpot it won't make a difference if it's activated though.

You could also try using a third-party tool Skyvia for more control over the sync between Square and HubSpot. It lets you customize which data you sync and gives you flexibility with mapping fields.
