Opt in totals report by group of contacts

Hey everyone!

I'm trying to see the top forms that group of contacts have filled out. I have the Opt-In Totals report and that s great I'd love to add a fiter to it that only shows the results from a list of contacts but I can't seem to figure it out. Thanks for your help!

Hi @ParkerO,

This sounds like a custom report someone created in your portal, not a default HubSpot report from the report library or marketing analytics.

If you want to customize a report, there are various ways to do so. Typically, when you're looking at a report, there'll be three dots in the top right corner or a customize button to get into the report builder – where you can then adjust the report filters.

Alternatively, navigate to Menu > Reporting > Reports, then search for your report, hover your mouse over it, Actions > Customize.

If you do not see these options, you're lacking the permissions and need to ask an admin to assing reporting permissions to you: https://knowledge.hubspot.com/user-management/manage-user-permissions

Ok cool I don't see those options, I'm currently a Super Admin, I'll look and see if there are any additional reporting options that are not turned on for me

@ParkerO could you share a screenshot of the report, ideally showing the interface surrounding it? Which subscription level are you on? Are none of the steps I shared working, not even the reports section?

Also, the form that I'm using is actually one of the Hubspot ones it's the "Form Submission Totals" template

We are on an enterprize subscription. This is a Hubspot form, it's the "Form Submission Totals" a hubspot template.

@ParkerO this is a report with limited filter options, see below:

It's neither possible to create a custom report that replicates these data exactly, nor to filter this default report by contact list membership, unfortunately.

Subscriptions event data in Report tool

What is it?

You can now use subscriptions event data (for individual subscription statuses and opt out all events) via the Report tool to build views, easily track and analyze subscriber data over time. Includes source of opt change, status change, date, and more.

Why does it matter?

Gives marketers access to subscription analytics so that they can optimize their email strategy, make data-driven decisions about campaigns, measure list growth, understand why people are unsubscribing, and/or demonstrate the ROI of marketing efforts to stakeholders.

How does it work?

Under Custom Report Builder, select Communication Subscriptions as the primary data source. Also select other required data sources such as Contacts, Companies etc.

When building your report, you will find the following new data points available for use:

Brand

Email address

Phone number

Source

Subscription status

Consent (re: opt out aka unsubscribe all actions)

Channel (re: Email, WhatsApp, or SMS)

Subscription type

Timestamp

User

Below are some examples of the reports that you can build:

Subscription status changes over time

X-axis : Timestamp

Y-axis : Count of Communication Subscription Status updates

Breakdown by: Subscription Status

Description: Visualizes changes in communication subscription statuses over time, highlighting the distinct count of updates each month

Data Sources: Communication subscriptions (Primary)

Properties to select:

Subscription changes by source over last month

Description: Get an overview of changes in communication subscription statuses, categorized by their sources, over the past month. It highlights the number of unique updates to subscription statuses, helping you understand which sources are most active in generating these changes.

X-axis : Source of change

Y-axis : Count of Communication Subscription Status updates

Breakdown by: Subscription Status

Event filter: Last 31 days

Data Sources: Communication subscriptions (Primary)
