Client Specific Usage Reports

I'm fairly new to HubSpot but my new job uses it and has an extensive database.

I'm looking for a way to pull a report for a specific client that shows me historical usage data for them in different segments of our business.

The closest I've gotten to this info is via the contacts page and collums roughtly labled "used ever", "used last 30days", "used last 90days".

What I really want is to be able to quickly access a client's entire historical data shown by how much they used it every month from the time the signed up until today.

I assume I can do this but I've yet to be able to figure out how.

(Appologies if my question doesn't make sense. I gladly welcome follow up/clarifying questions.)

Few clarifying questions indeed 😊

When you say "historical usage data for them in different segments of our business." what exactly does that mean?
What business/industry are you in and what usage are we talking about?
Do you know for sure that this data is finding it's way into HubSpot?

As an FYI, any of the above is not a HubSpot default, so the starting point would to find out internally what data is being synced back into HubSpot. Once you have that, it's a case of working out if the way that data is synced into HubSpot allows you to build this report.

Hope those are some good pointers.

This is likely best answered with a picture. Above is an example of some of the fields of data that I can see when I make a custom view on the Contacts page.

What business/industry are you in and what usage are we talking about?

This is for a medical software company and I want to be able to see for a given client how many consults they've done each month since they started with us. The top line is a great example of why I need this. You can see this user has used us 789 times but zero times in the last 30/90 days. I'd like to be able to see when they fell off so I can try to figure out why and how to get them back to using.

Do you know for sure that this data is finding it's way into HubSpot?

I don't... but the fact that the data I'm looking for is available on the Contacts page I assume it is?

To get historical usage data, check if HubSpot is tracking it as properties (like "monthly usage") or logged activities. If it is, create a custom report by grouping the data by month. If monthly data isn’t tracked yet, set up a workflow to log it moving forward. If the data isn’t in HubSpot, you’ll need to sync it from another system. Let me know if you need help!

Hey @DukeNova, if this data is showing on the Contacts page, it’s being stored in HubSpot—likely as custom properties. You can absolutely pull a report for this. Go to Reports > Create Custom Report, select those properties (like "Complete Consult Ever"), and group the data by month. If monthly trends aren’t being tracked yet, set up workflows to capture this moving forward.

Thanks so much for the reply; and I'd love some more specific help getting this going.

I'm having some success building reports but I'm still not gettting to what I'm truly looking for.

I found a report previously created by my team that makes a bar graph displaying how many users signed up per month. This is close to what I'm trying to accomplish but I need it to measure number of consults per month on a per user basis and for the life of me I can't figure out how to do it..
