Hubspot for Financial Institutions

Hi there!

I work for a Credit Union (in marketing) and was having trouble importing our members information/ data into HubSpot. We are not using API or have cloud capability at this time so we employed a third part to help us take data from the core and import to a secure FTP and push into our HubSpot. The problems we have run into are having duplicate accounts with the same email (families with multiple accounts often use one email) and the large size of the file (over 40k rows of members) pushed us from a daily import to a weekly import.

Are there any other financial institutions that are using HubSpot and could give me advice on what roadblocks they have encountered and what has worked for them and thier customer management?

Hi @AGonzalez93. I've not used FTP to upload contacts to HubSpot, so I can't speak to that creating duplicate contact records. As I've always understood HubSpot, everything is based on email for Contact records, so the same email should update any existing contact record, not create new ones. If you're updating those 40k members, is there a way to "map" the unique HubSpot ID to each member in your system, using that as the indicator of who you're updating for the daily import? Then you can check off the existing file option in your file upload:

Per HubSpot:

Duplicates found automatically

HubSpot will know if a contact or company already exists. This is done by the contact email address and company domain name. If you import a contact or company that already exists in your CRM, any matching properties will be updated with the latest data from your import. If you don't want to overwrite existing data in your CRM, remove those columns from your file before you import.

Duplicates found by object ID

You can use an object ID to specify any records that already exist in your CRM. All objects include contact, company, deal, ticket, and product. If you import an object that already exists in HubSpot, any matching properties will be updated with the latest data from your import.

The biggest issue is having our customers data automatically migrating and updating to our hubspot. We are unable to use API at this time so what other options can we use to fully use automation? We also would like to have a cleaning process for our data prior to migrating/ uploading to hubspot. This is our biggest challenge and would very much appreciate any assistance.

@AGonzalez93 for cleansing data, I've used Insycle before and love the tool & its integration with HubSpot.

As for automatically pushing data, it has to through an API or though a built integration. Have you looked at a solution like Zapier? I don't know of a magic button to make automation of data transfer happen without some kind API connection, whether it's a custom-built API or a pre-built integration. The only other way to transfer data would be through imports.

I can tell you that I work for one of the best HubSpot partners out there and I'm sure we could explore options with your team if you're interested. There may be a custom option our team could help with.
