Create an automation based on a field in a form

Hello everyone,

I'm struggling with an activity I have to do... I created a form on the website using the Gravity Form Plugin of WordPress that is connected with HubSpot. I have a field with a dropdown (Job Title) and based on the selection I want to send specific communication. But I'm not able to find the field to add in the brunch when I select it in the automation... Does anyone know how to help me with this? Thank you!

Hi @AnnettePalmieri,

If you don't know what the field is labeled as, try to find a contact that has submitted the form. If you can't find any, submit it yourself.

On your contact record, you should then see the form submission in the activity timeline: https://knowledge.hubspot.com/crm-setup/view-the-history-of-an-activity-in-a-timeline

You can expand the form submission entry in the timeline and see which fields were populated by the submission. That's how you should also be able to find the field name for your workflow branch.

Thank you for your reply! This is something I already tried, but when looking in the properties, the field is empty.

I also attach what the dropdown looks like on the website:

I think I have to create some sort of filter in HubSpot in the properties, but I don't understand where and what.

@AnnettePalmieri that's not what I meant, could you please review my previous reply again step by step?

I am not referring to looking up the field value, I'm referring finding the form submission entry in the activity timeline of the contact. This is an entry like a marketing email send, a workflow enrollment or similar. It can be expanded to see which fields were submitted.

Your screenshot shows the "View all properties" section of the contact record, not the activity timeline.

I checked, but both in activities and property history there are no traces of the job title I'm looking for 😞 I thought it would be possible to manage this with HubSpot because it's pretty easy as a process, but apparently, I can't.

Hello! I see your form data is not getting properly.

Have you connected the WP with HS using the tracking code?
If yes, you need to map the form field first. You can read this article.

If you connect Gravity Form directly to HubSpot, you need to map this field from here.

If the connection is good, then you can create a workflow like this:

Workflow: contact enrollment trigger;
Trigger type: When filter criteria is met > Select: Form submission > Select: "Gravity form"

Branch type: Based on matching filter criteria > add filter: contact property > Job title is "Business Developer"

Action: send specific communication.
