topic Creating an active list based on a specific form-field entry in Lists, Lead Scoring & Workflows

We're looking to create an active list based on a specific response to a single form-field in a lead generating form.

To give you the real example for clarity: we are an event venue, and we currently have a form asking folks what type of event they want to book us for. Based on their response to that particular field, we want to segment them into separate active lists. For example, if they say WEDDINGS, they will go into an active list called WEDDING LEADS. If they say PRIVATE EVENT, they will go into an active list called PRIVATE EVENTS.

I suspect this cannot be done in one action, but rather a series of actions, like this:

1) All form responders get put into an active list called EVENT LEADS

2) We create a workflow that says "If member of EVENT LEADS" has LEADFORMFIELD_EVENTS = "WEDDINGS", put into WEDDING LEADS" active list.

Is this type of workflow possible?

Thanks so much for help!

Hi @CB144,

This might come a bit as a surprise, but it's not possible to create a list of HubSpot and specify that a form field value must have been made available through a form submission. You can filter for contacts who have a value in a field and who have submitted the form – but you can't say that this value must've come from that form.

It's a bit like the distinction between correlation/causality. In most cases this value will have come from the form submission but there's no way to make it a requirement when building a list.

That being said, it's hard to construct scenarios where a value would be updated via another source while still fulfilling the list criteria. That's why it would be an acceptable simplification to create a list like I drafted below, replacing the custom property with your property and the form, of course.

When you create a list like that for each option, there is no need for an additional workflow. The list will check if the property has ever had a specific value (e.g. Weddings) and if the contact has submitted a specific form (e.g. Event form). That would be your final wedding list.

If the your form field is also used in many other ways and updated manually, via integrations etc, then you might want to consider creating another version of it just for your event form so that you can be sure that the input came from a person submitting the event, not another source.

Best regards!

The problem with this is that if a person filled out the form in question AND another form that shares the same field (ie. RSVP Yes/No), the person could have said RSVP Yes on one form and RSVP No on the other. They would always show the "has ever been Yes" for the field even if they had RSVP'd no for the event you want to create the list for.
