How to create and manage content in HubSpot for beginners?

The biggest tip I can give is: Try to plan ahead and keep naming conventions consistent.

If you're uploading images/videos/PDFs, basically anything to the file-manager, create folders that are easy to understand in the future.

When creating special landing pages, emails, workflows ... for campaigns, try to thing of a internal name convention.

list: q1c | list b
...

If you're creating multi-lanuage content, add the language tag to it like

Campaign: EN | q1-campaign
Campaign: DE | q1-campaign
Email: EN | q1c | welcome email
Email: DE | q1c | follow-up email
Email: EN |q1c | welcome email
Email: DE | q1c | follow-up email
landingpage: EN | q1c | landing page

When it comes to the actual page building:

Don't start with Elevate unless you got inhouse React developers as you'll most likely hit some limitations with it quite quickly.

Check out the marketplace for marketplace themes that cover around 80% of your requirements. Buy/download it, create a child-theme of it(right-click on the downloaded theme, and select "create child-theme"). Use this Child theme for all future pages.

A tip from a developer: There's almost nothing, you can't have in HubSpot in terms of theme "building blocks", but most marketplace themes are covering only the most common use-cases. Custom development can give you A LOT more. So if you got somebody on your side, who understands HTML, CSS, JavaScript and HubL(HubSpot programming language), sky is the limit.

If you got Content Hub Professional or Marketing Hub Enterprise, you can use HubDB for more "global" content or so-called dynamic pages. For instance, HubDB is commonly used for something like displaying your team with image, name, position, social icons...

Emails are quite limiting compared to pages as emails are - from a technical perspective - ancient technology, because of almost every email client(Outlook, Gmail...) out there. Don't expect the same functionality as in landing pages, and don't try to go over the top. Even Gifs aren't supported that well

Welcome to the Community, and to the world of HubSpot, @CHENGAkshaya19! You got a great lesson and advice from @Anton - one of the best out there. I'll add just a little from my experience as well.

I think one of the most underrated strategies is to plan for your audience. Before you create anything, get clear on who you’re talking to and why. This saves you from “random acts of content” and makes HubSpot’s tools actually useful.

Here's how I'd do that:

Define 1–3 primary goals. Examples could include “Generate demo requests,” “Grow newsletter,” or “Educate existing customers.”
Document buyer personas in HubSpot’s persona tool, including pains, goals, common questions, and preferred formats.
Decide your main topics (pillars) and subtopics (clusters) your brand should own, such as “museum membership retention” or “HubSpot onboarding for nonprofits.”
Choose 1–2 priority channels to start (e.g., blog + email, or blog + LinkedIn) instead of trying everything at once.

Example: A small museum might set a goal of “Sell more family memberships,” define a “Local families” persona, and choose a “Family experiences” content pillar with blogs, reels, and email highlights that all tie back to that.
