Hi there,

We currently use Calendly to handle all our bookings, but new events don't track the source properly. One suggestion was to have a HubSpot form to create the contact, which then pushes them to the calendly booking page to track the source information accurately.

The issue is that it creates more work for the potential lead, which is annoying. Calendly allows for the pre-filling of fields from the URL. So, I'm trying to pre-fill the link with the information the potential lead put into the original HubSpot form so that they don't have to enter it twice. But I can't find any information on how to do this.

I've tried setting the external link within the form to: https://calendly.com/nathan-hobbs/online-meet-greet?email={{contact.email}}&name={{contact.firstname}}%20{{contact.lastname}}&a1={{contact.phone}}

Of course, the scheduling page then looks like this:

Is this even possible? Any assistance would be appreciated.

Hi @Nathanhobbs

I'm not entirely sure on this but it likely to do with how Calendly reads the string information and places it into their forms. So you might need to update the informtion you add into the Calendly fields. Please see this article here.

Let me know how you get on.

Thanks!

Matt Aire
HubSpot Freelancer | Founder @ pocketpros

Let's chat HubSpot - book a meeting

👌 If my reply was useful and helped answer your question, please mark it as a solution to help the community!

Hi Matt,

Calendly is reading the URLs correctly, but I'm trying to find a way to actually get the HubSpot form answers into the URL that's directing to the calendly form.

I'm not sure if this is possible, or it's likely not as simple as what I'm trying to do 🤣.

Thanks,

Nathan

Hi @Nathanhobbs,

to get it right - you have a HS form that collects the data from a contact, once the contact is inside HS you'd like to send this contact a personalized url with prepopulated fields from HS. Is that right?

If so - here are some ideas:
Create a super simple custom email module which will look like this:

<LI-CODE lang="markup">{% set base_url           = "https://calendly.com/nathan-hobbs/online-meet-greet?" %}
{% set email              = contact.email %}
{% set username           = contact.firstname ~ "%20" ~ contact.lastname %}
{% set personalized_url   = base_url ~ "email=" ~ email ~ "&name=" ~ username %}

<a href="{{ personalized_url }}" target="_blank">{{ module.button_label }}</a></LI-CODE>

I've added a simple text field for the button label so you can modify it without coding.

You can style the button with inline-css since

<LI-CODE lang="markup"><style>

...

</style></LI-CODE>

will be dropped by most email clients

Note: I'm not 100% sure but according this calendly doc you can't pass phone information to calendly

best,

Hi Anton,

It's not a link sent to the client; it's the external link it pushes them to as soon as they complete the HubSpot form. I want to use the answers they have just submitted into that form to pre-populate the calendly booking page they land on afterwards.

I'm only trying to do it like this because when a lead schedules an appointment through Calendly on our website, it doesn't provide any source information. It's just offline sources -> integration. One of the suggestions I received was to have them complete an HS form first to capture source info and then push them to the booking page. I want to achieve this without the lead needing to re-type all their information again on the booking page.

Phone numbers aren't a default question in Calendly, so they're just custom questions with unique IDs.

Thanks,

Nathan
